# HeadsUp user guide

This is the complete how-to guide for HeadsUp (https://headsup.rsvp), an Australian app for making event invites, sending them to guests by text or email, and keeping track of who's coming. It holds the text of every article in the HeadsUp help centre (https://headsup.rsvp/help), in one file.

How to use it: give this file to ChatGPT, Claude, Gemini or any AI assistant, then ask it how to do something in HeadsUp, for example "how do I hide my address until guests confirm?"

## Getting started

### How to sign up for HeadsUp

Create your free HeadsUp account with your name, email and a password, then confirm it with the code we email you.

A HeadsUp account is what you plan, send and track your events from. It's free to make, and the Free plan needs no card. Only hosts need an account. Your guests never do.

1. Go to [headsup.rsvp](https://headsup.rsvp) and tap **Sign up free**. You can also go straight to [headsup.rsvp/signup](https://headsup.rsvp/signup).

2. Type **Your name**, your **Email** and a **Password**. Your password needs at least 12 characters, with an uppercase letter, a lowercase letter and a number.

3. Finish the quick robot check if one shows up, then tap **Create my account**.

4. Check your inbox. We email you a 6-digit code. Type it into **6-digit code** and tap **Confirm and sign in**.

That's it. You land on your **Events** home, ready to [create your first event](https://headsup.rsvp/help/create-an-event).

#### Good to know

- No code in your inbox? Check your spam folder, or tap **Resend the code**.
- Got an invite link from a friend? Open it and sign up the same way. It works once and lasts two weeks.

### How to create an event

Start a new event in HeadsUp in three quick steps, from a template, a blank page or an AI first draft.

Every invite in HeadsUp starts as an event. Creating one takes three short steps, and only the name is required. Everything you choose here can be changed later.

1. On your **Events** home, tap **Start a plan**.

2. **The basics.** Type a name for your event. Add a date and a time if you know them, or tap **End date and time** to set when it finishes. No date yet? Leave it blank and add one any time. Tap **Continue**.

3. **Start from.** Pick a template, such as **Birthday party** or **Potluck**, or **Fresh page** to build your own. Until you've been through the editor's quick tour, **Fresh page** comes with example blocks to write over. After that you get a **Start with example content** switch to choose between the examples and a blank page with just the RSVP card. Tap **Continue**.

4. **Guest features.** Choose how guests can use your invite: whether they can send you **Guest questions**, bring **Plus ones**, or join from a **Public link**, and whether their **Verification codes** go by text or email only. Tap **Create event**.

Your new event opens straight in the editor, ready for you to design the invite.

#### Good to know

- On every paid plan, **AI assist** in step 2 writes a first draft of the invite, look included, from a short description of your event.
- Text verification codes use your texts. Email codes are free.
- Your event stays a draft until you send it. Drafts sit under the **Drafts** tab on your Events home.
- Drafts count towards the number of invites your plan lets you run at a time. On the Free plan that's 3.

### How to find your way around HeadsUp

A quick tour of the Events home, the six sections inside every event, your People list, the texts pill and your account menu.

HeadsUp has two main places: **Events**, where every invite you're running lives, and **People**, your saved guests. Everything else hangs off those two. Here's where things are.

1. **Your Events home.** Your events are sorted into four tabs. **Active** has events whose invites are out. **Drafts** has events you haven't sent yet. **Wrapped up** has events that have finished. **Bin** has events you've deleted, which you can still restore for 30 days. Each card shows the date and how many guests are invited, going, maybe and can't go. Tap a card to open the event.

2. **Inside an event.** Every event has six sections along the top:
   - **Overview**: the date, your reply numbers, what to do next, and the event's settings, such as verification codes, the public link, co-hosts and notifications.
   - **Edit**: the invite itself. Tap anything on it to change it.
   - **Guests**: add people and copy each guest's personal link.
   - **Send**: send the invite by text or email.
   - **Responses**: who's coming, dietary needs, guest questions and activity.
   - **Updates**: post news to your guests after the invite has gone out.

3. **The texts pill.** The number at the top of the screen is how many texts you have left to send. Tap it for your **Texts history**: every top-up, spend and expiry, with the balance each one left.

4. **People.** Tap **People** to see everyone you've saved. People you add here are ready to invite to any event, and you can sort them into groups.

5. **Your account menu.** Tap your initials in the top corner for **Account settings**, **Report a problem** and **Sign out**.

#### Good to know

- On a phone, **Events** and **People** sit along the bottom of the screen. While you're editing an invite on a phone, the bars tuck away to give you room.
- Upcoming events sort with the soonest at the top.
- If somebody made you a co-host of their event, it shows up in your tabs too, with a **Co-host** chip on the card.
- Found something that doesn't work? **Report a problem** in the account menu sends it straight to us.

### How to try the editor without an account

Play with the real HeadsUp invite editor before you sign up. Your draft saves in your browser and comes with you when you join.

Want to see what an invite looks like before making an account? The playground is the real HeadsUp editor with a sample invite already in it. Nothing is sent to anybody, and you don't need to sign up.

1. Go to [headsup.rsvp/try](https://headsup.rsvp/try), or tap **Try the editor** at the top of the HeadsUp website.

2. A quick tour shows you around. Tap **Next** to follow it, or **Skip the tour** if you'd rather dive in.

3. Change anything you like. Tap text to type right on the invite, and tap the **+** between blocks to add things like photos, an agenda or a poll. Tap **View as guest** to see the invite the way your guests would, RSVP buttons and all.

4. Want a clean slate? Tap **Start over**. Everything you've built goes, and the sample invite comes back.

5. Happy with it? Tap **Create your account**, then **Create a free account**. Already have one? Tap **Log in** instead.

6. Once you're signed in, your **Events** home offers the invite you built. Tap **Bring it in**, check the name and date, then tap **Create event**. It becomes a real event you can send. Or tap **Discard it** to let it go.

#### Good to know

- Your playground invite saves in the browser you made it in. Clear your browser data, or switch to a different phone or computer, and it won't be there.
- On a phone, the **View as guest** and **Start over** buttons show as icons only.
- The map on a location block stays off in the playground, so the address you type never leaves the page.
- AI features in the playground show a sample rather than writing a real draft. Sign up to use the real thing on a paid plan.
- The playground can't send anything. Adding guests and sending happen in your account.

### How to duplicate an event

Copy an event to reuse its invite and guest list for your next one. The date, sends and replies start fresh.

Running the same kind of event again? Copy it instead of starting over. The copy gets the whole invite and the same guest list, and everything else starts fresh, so it's ready for its own date and its own replies.

1. On your **Events** home, tap the copy button on the event's card.

2. Give the copy a name. It starts as "Copy of" plus the old name, so just type over it.

3. Tap **Copy event**.

The copy opens on its **Overview**, ready for you to set a date and tweak the invite.

You can also copy an event from inside it. On its **Overview**, tap **Copy event** next to the event's name.

#### Good to know

- **What comes across:** the invite, with its design and every block, and the guest list.
- **What starts fresh:** the date, the sends and the replies. Every guest gets a brand new personal link, so nothing from the old event carries over to the new one.
- The copy is a draft until you send it, and it counts towards the number of invites your plan lets you run at a time. On the Free plan that's 3, counting drafts and active events. [Compare plans](https://headsup.rsvp/help/compare-plans) to see the others.
- You can copy an event that's in the **Bin** too, without restoring it first.
- Co-hosting somebody else's event? You can copy it, but only the invite comes across. The guest list, date, sends and replies stay with the owner.

### How to delete or restore an event

Move an event to the bin, bring it back within 30 days, or delete it for good straight away.

Deleting an event moves it to the **Bin** first, so a slip of the finger never costs you anything. It sits there for 30 days, and you can restore it any time before then.

#### Move an event to the bin

1. On your **Events** home, tap the bin button on the event's card.

2. Tap **Move to bin** to confirm, or **Keep it** if you changed your mind.

While an event is in the bin, its guest links stop working. Guests who open one won't see the invite.

#### Restore it, or delete it for good

3. Open the **Bin** tab. Each event there counts down the days it has left, like **Gone for good in 30 days**.

4. Tap the restore button to bring the event back. It returns to the tab it came from, and its guest links work again.

5. Or tap the delete button, then **Delete forever**, to get rid of it now. The invite, the guest list and the responses all go with it, and there's no getting it back.

#### Good to know

- After 30 days in the bin, an event is deleted for good automatically, with everything on it: guests, replies, votes, dishes, sign-ups, questions, updates and photos.
- Restoring counts towards the number of invites your plan lets you run at a time. If you're already at your limit, HeadsUp tells you, and you can make room or [move up a plan](https://headsup.rsvp/help/compare-plans) first.
- Want the invite again without the old event? You can [copy an event](https://headsup.rsvp/help/duplicate-an-event) straight from the bin.
- Only the event's owner can move it to the bin, restore it or delete it. Co-hosts don't see the bin button on events they help run.

## Designing your invite

### How to edit your invite

Your invite is its own editor. Tap any text to type over it, style it with the formatting bar, and your changes save as you go.

In HeadsUp there's no separate form to fill in. The invite you see on the **Edit** tab is the page your guests get, and you change it by tapping on it. Headings, text and everything else sit right where guests will see them.

1. Open your event and tap **Edit**. Tap any heading or paragraph to put your cursor in it, then type. A pink outline shows which block you're in, and the formatting bar pops up just under it.
2. Select some words and use the formatting bar to make them **Bold**, **Italic**, **Underline** or **Strikethrough**, give them a text colour or a highlight, turn them into a **Link**, or add an emoji. The alignment buttons set the whole block left, centre or right, and there are bulleted and numbered lists too.

3. There's no save button. A moment after you stop typing, **Saved** shows next to the event name at the top.

To change the event's name, tap the title at the top of the editor and type.

#### Good to know

- Colours on text are picked from a small palette that suits every theme. Leave a word on the automatic colour and it follows your theme's ink, so it stays readable if you change themes later.
- Some blocks, like a location or a poll, open a panel from the bottom of the screen when you tap them. Make your changes there and tap **Done**.
- Guests who already have your link see your changes the next time they open it. If it's something they should hear about, [post an update](https://headsup.rsvp/help/post-an-update).
- On a phone, the app's header slides away as you scroll down the invite to give you more room, and comes back as soon as you scroll up.

### How to change your invite's theme

Try on a different look in one tap, then fine-tune colours, fonts and any part of the page in the theme studio.

A theme sets the whole look of your invite: the colours, the fonts, the shape of the buttons and the page behind it. Changing it never touches your words, so you can try on as many as you like.

1. In the editor, tap **Theme** (the palette button at the top).
2. Tap a theme to try it on. The invite updates straight away. Swipe the row sideways to see them all: **HeadsUp**, **Casual**, **Minimal**, **Corporate**, **Soiree** and **Kids**.
3. Happy with the look but want to tweak it? Tap **Customise this theme**.

4. The theme studio opens from the bottom. Start with the basics, like **Page background**, **Accent** and **Fonts**, or tap any part of the invite itself to restyle just that part. Tap **Done** when you're finished.

#### Good to know

- Customising never changes the stock theme. Your look is kept as its own saved theme, which shows at the front of the theme row, so you can put it on your next event in one tap.
- To rename or delete a saved theme, use the pencil and bin buttons on its tile. Deleting one doesn't change events already wearing it. You can keep up to 30 saved themes.
- Picking a stock theme again puts the invite back to that theme's own look. Your custom version stays saved in the row.
- **Reset customisations** at the bottom of the studio takes this invite back to the stock theme.
- The studio warns you if text might be hard to read on the colours you've picked, but it never stops you.

### How to add a cover and a logo

Give your invite an opening band in a colour, gradient, pattern or photo, with your logo in the middle.

The cover is the band across the top of your invite, the first thing guests see. It can be a plain colour, a gradient, a pattern or a photo, with your logo sitting in the middle and the event name on it if you like.

1. In the editor, tap the cover band at the top of the invite. No cover yet? Tap **Add a cover** where it would be.

2. In the **Cover** panel, make sure **Show a cover band** is on. Under **Background**, pick **Colour**, **Gradient**, **Pattern** or **Photo** and set it up. The invite behind the panel changes as you go.

3. Under **Logo**, tap **Add a logo** and choose an image. Under **Display**, pick a height of **Compact**, **Standard** or **Tall**, and turn on **Show the event title on the cover** if you want the name on the band. Tap **Done**.

#### Good to know

- A wide photo works best, because it fills the band edge to edge. After adding one, tap **Reposition the photo** and drag it up or down to choose which part shows.
- Turn on **Dim the photo so text stays readable** if the title is hard to read over a busy photo.
- On a computer you can drag a picture straight from your desktop onto the cover band.
- Images can be up to 12 MB.
- To take the cover off, turn **Show a cover band** off.

### How to add, move and delete blocks

Build your invite from blocks like text, a map, a poll or a potluck list, and put them in any order you like.

Everything on your invite below the cover is a block: a heading, a paragraph, a map, a poll. You add them where you want them, move them around, and delete the ones you don't need.

1. In the editor, find the little **+** buttons that sit between blocks. Tap the one where you want the new block to go.

2. The **Add a block** list opens. Tap the kind of block you want, and it lands in that spot.

3. To move a block, tap it. A toolbar appears above it. Use the up and down arrows to move it one place at a time.
4. To delete a block, tap the bin on the same toolbar. Changed your mind? Tap **Undo** in the message that pops up straight after.

The same toolbar also has a **+** to add a block right below, a copy button to duplicate the block, and, once your invite has tabs, a button to move the block to another tab.

#### Every kind of block

Text blocks:

- **Heading**, **Text**, **Subheading** and **Divider**, for the words on your page. See [editing your invite](https://headsup.rsvp/help/edit-your-invite).

Invite blocks:

- **Overview**, rows of key facts, such as where, when and what to wear.
- **Agenda**, a run sheet, a menu or any list in order. See [adding an agenda](https://headsup.rsvp/help/add-an-agenda).
- **Location**, an address with a map. See [adding a location](https://headsup.rsvp/help/add-a-location).
- **Callout**, a notice that stands out, like parking or "bring a plate".
- **Photo**, a picture with a caption. See [adding photos](https://headsup.rsvp/help/add-photos).
- **FAQ**, the questions guests always ask. See [adding an FAQ](https://headsup.rsvp/help/add-an-faq).
- **Link buttons**, big buttons for a playlist, a registry or a group chat. See [adding link buttons](https://headsup.rsvp/help/add-link-buttons).

#### Good to know

- A page or tab with nothing on it yet shows an **Add a block** button instead of the **+** buttons.
- On a computer you can drop a picture from your desktop straight onto a photo block.

### How to add a tab to your invite

Split a busy invite into tabs, like Where, Agenda or Bring a plate, that guests flip between.

Tabs are extra pages on your invite. They show as a row of buttons under the reply card, and guests tap between them. They're a tidy way to keep the top of the invite short while the details, the map or the potluck list each get a page of their own.

1. In the editor, scroll to the tab row under the reply card and tap the pencil at the end of it. No tabs yet? Tap **Add a tab** where the row would be.

2. The **Tabs** panel lists your tabs. Tap **Add tab**.

3. Type a name for the new tab over **New tab**. Use the arrows to change the order guests see them in. Tap **Done**.

4. Tap your new tab on the invite and fill it with blocks, starting with **Add a block**.

#### Good to know

- Each row in the **Tabs** panel shows how many blocks are on that tab.
- Removing a tab removes everything on it. You'll be asked to confirm first.
- The lock button on each row hides that whole tab until a guest verifies with a code. See [locking a whole tab](https://headsup.rsvp/help/lock-a-whole-tab).
- You can move a block from one tab to another with the move button on its toolbar. See [adding, moving and deleting blocks](https://headsup.rsvp/help/add-and-move-blocks).
- Once you post an update, an **Updates** tab appears on its own. You don't need to add it.

### How to set up the RSVP card

Choose how guests reply, whether they can say maybe or hide their name, who can see who's going, and the dietary options they pick from.

Every invite has an RSVP card, where guests tap to say they're in, maybe or can't make it and tell you about dietary needs. It's always there, but you choose how it works.

1. In the editor, tap anywhere on the reply card, such as the **Are you coming?** question.

2. The **RSVP** panel opens with the date and time at the top, then a switch for each choice. The main ones:
   - **Allow "Maybe" responses**, so guests aren't stuck between yes and no.
   - **Let guests hide their name from other guests**, for anyone who'd rather not appear on the list.
   - **Let guests tap "Going" to see who's in**, which shows the list of who's coming.

3. Scroll down to **Dietary options guests can pick**. Type over an option to change it, use the arrows to reorder, the cross to remove one, or tap **Add option**. Turn on **Add an "Other…" option so guests can type their own** for anything you haven't listed. Tap **Done**.

#### More you can change

- **Date and time**, the same as on your event's Overview, plus an **RSVP-by date**. With no RSVP-by date, guests can reply right up until the event.
- **Show the year in the date** and **Show add-to-calendar buttons under the date**.
- **Let guests ask you questions**, which adds an **Ask the host** box to the invite. See [answering guest questions](https://headsup.rsvp/help/answer-guest-questions).
- **How the tally looks**, as **Number tiles** or **One bar**.
- **Message under the question**, a line of your own under **Are you coming?**.
- **Button labels guests see**, so **I'm in** can say whatever suits your event, and **Messages after guests reply**, the line a guest sees once they've answered.

#### Good to know

- Guests don't need an account to reply. They just tap a button on their invite.
- The **Join** label is for your public link, where people who aren't on your list yet see a join button instead of the reply buttons. See [sharing a public link](https://headsup.rsvp/help/share-a-public-link).

### How to preview your invite as a guest

See your invite exactly the way guests will, try the reply buttons, and check what's hidden until a guest verifies.

The editor already looks a lot like the real thing, but it's worth a proper look before you send. The guest preview shows your invite with none of the editing buttons, and lets you tap through it the way a guest would.

1. In the editor, tap **View as guest** (the button with the arrow out of a box). The preview opens in a new tab.

2. Scroll, reply and try the code checks. You're a pretend guest, so replies and code checks are only simulated and nothing is saved. When you're done, tap **Back to editor**.

#### Check what's hidden before a code

If your invite has anything guests only see after a quick code check, such as a reveal block, a chip-in or a locked tab, the editor bar also has a **Locked view** button (the padlock).

3. Tap **Locked view** to see every hidden part the way guests meet it before they verify. Tap it again to go back to editing the hidden details.

#### Good to know

- One code opens everything hidden on the invite, so **Locked view** flips every hidden part at once.
- **Locked view** only shows when there's something to hide, including the **Ask the host** and plus one boxes, which also ask guests for a code.
- On a phone, the buttons in the editor bar show just their icons. On a wider screen they show their names too.

### How to set your invite's link preview

Plans: Plus and up

Choose the picture, title and text that show when your invite link is shared in a chat app.

When your invite link lands in a chat like Messages or WhatsApp, it shows as a little card with a picture, a title and a line of text. On a paid plan, that card uses your cover, and you can change all three.

1. Open your event's **Overview** and scroll down to the **Link preview** card. The mock-up shows how your link looks in a chat right now.

2. Type a **Title** and **Text** of your own. The mock-up changes as you type, and each one saves when you tap out of the box. Leave either empty to use the event name and the date.
3. Under **Picture**, tap **Add a picture** to use your own image instead of your cover.

#### Good to know

- On the Free plan, your link shows the HeadsUp card with your event's name and date. Plus, Pro and the business plans draw your cover instead and let you change the picture, title and text.
- A picture 1200 by 630 pixels works best. Without one, the card is drawn from your cover.
- The title can be up to 90 characters and the text up to 200.
- The same fields are on the **Send** tab, next to the phone preview.
- If your plan ends, the preview you saved keeps showing. Changing it again needs an active plan.

### How to design your invite with AI

Describe the look you're after, or share a photo, and the AI designer restyles your whole invite in about half a minute.

Not sure which colours go together? Tell the AI designer the feel you want, like "garden party, sage and gold, a bit fancy", and it sets the colours, fonts, corners and page background in one go. It only changes the look. Your words and blocks stay exactly as they are.

1. In the editor, tap **Theme**, then **Customise this theme**, then **Design with AI**.

2. Describe the look you want in the box. To match a photo, like an outfit or a venue, tap **Match a photo** and pick one.
3. Tap **Design my theme**. It usually takes about half a minute, and the invite behind the panel changes when it's done.

Not quite right? Type what should change, like "darker, less gold", and tap **Refine this theme**. Anything you don't mention stays put.

#### Good to know

- Each design or refine uses one AI generation. Plus includes 20 every 30 days, Pro 50, Business 150, Business Pro 300 and Business Max 500. The panel shows how many you have left.
- If a design fails, the generation goes back on your count.
- The same allowance covers the AI first draft you can start a new event from. See [creating an event](https://headsup.rsvp/help/create-an-event).
- Your AI look is saved like any other custom theme, so you can adjust it by hand in the studio or pick a stock theme to start over.
- On the Free plan, the designer shows what it does and a link to the plans. See [comparing plans](https://headsup.rsvp/help/compare-plans).
- A co-host can use the designer too. It uses the event owner's allowance.

### How to style your invite with custom CSS

If you know CSS, you can add your own styles on top of your theme from the theme studio. It's an early, experimental feature.

The theme studio covers most looks without any code. If you write CSS and want to go further, the **Custom CSS** box lets you add your own styles on top of your theme. It's marked **Experimental**, so it may not always work the way you expect yet.

1. In the editor, tap **Theme**, then **Customise this theme**. Scroll to the bottom of the list and tap **Custom CSS**.

2. Type or paste your CSS into the box. The invite behind the panel updates as you type, and your CSS saves with the rest of your changes. Tap **Done**.

#### Good to know

- Your CSS only reaches your invite, never the rest of the page guests see.
- The hint under the box lists the parts you can safely target, such as `[data-pv="hero"]`, `"cover"`, `"rsvp"` and `"button"`, and you can override any of the theme's `--pv-` colour and size settings.
- Imports and links to outside files are removed when it saves.
- You can use up to 20,000 characters.
- Your CSS is part of your custom theme. Picking a stock theme takes it off this invite, but it stays in your saved theme, and **Reset customisations** clears it too.

### How to hide private details until guests verify

Keep an address, a PayID or a door code hidden until a guest proves it's them with a 6-digit code.

Invite links get forwarded, screenshotted and dropped into group chats. A **Reveal** block keeps one private detail, like your home address, a PayID or a gate code, off the page until a guest confirms a quick 6-digit code. Everyone else sees a locked card instead of the value.

1. In the editor, tap a **+** where you want it and pick **Reveal**. New to blocks? See [how to add and move blocks](https://headsup.rsvp/help/add-and-move-blocks).

2. Tap the pencil on the new block to open it. Type a label guests will see, such as "Door code" or "PayID".

3. Type the private value underneath. It saves on its own, and it can run over a few lines if you need it to.

4. Tap **Done**. To check what guests see before they verify, tap the lock button (**Locked view**) at the top of the editor. Tap it again to go back.

#### How the code check works

- The code goes to the mobile or email **you** have for that guest, so only the person you invited can pass it. A friend holding a forwarded link can't.
- One code unlocks everything private on the invite at once: every Reveal block, a hidden address, a locked tab, the PayID on a chip-in.
- It's remembered on that guest's phone or computer. If they open the invite somewhere else, they'll be asked for a fresh code there.
- Guests never need an account. They tap **Send code**, type the 6 digits and they're in.

#### Good to know

- A guest with no mobile or email on file can't get a code, so their private details stay locked. Add a mobile or email to their guest entry and they can verify with the same link.
- If you change a guest's mobile or email, they'll need to verify again. This protects you when a number was typed wrong and a stranger got the invite.
- Text codes use your texts. Email codes are always free. To stop codes using texts, set **Verification codes** to **Email only** on the event's **Overview**. With **Email only**, a guest you only have a mobile for can't get a code, so add their email too. It covers people joining from your public link as well: they join with an email.
- A hidden address never goes into a guest's calendar file, even after they verify.

### How to lock a whole tab

Put an entire tab, like your venue page, behind a quick code check so only guests you invited can open it.

Sometimes a whole page is private, not just one line. A venue tab might hold the address, a map, parking notes and a photo of the front door. Locking the tab hides all of it until a guest confirms a 6-digit code, and you don't have to hide each block one by one.

1. In the editor, scroll to your tabs and tap the pencil at the end of the row (**Edit tabs**).

2. Tap the lock beside the tab you want to hide. It turns pink when the tab is locked. Tap it again to unlock. Then tap **Done**.

3. That's it. Guests still see the tab's name, wearing a small lock, but when they open it they get a code card instead of what's on it. After they verify, the whole tab opens.

#### Good to know

- To check what a locked tab looks like before guests verify, tap the lock button (**Locked view**) at the top of the editor. You keep editing the tab's blocks as normal when it's off.
- The code goes to the mobile or email you have for each guest, and one code unlocks everything private on the invite. [How the code check works](https://headsup.rsvp/help/hide-details-until-guests-verify).
- Anything guests add on a locked tab, like poll votes, plates or sign-up names, stays hidden with it until they verify.
- An address on a locked tab never goes into a guest's calendar file.

### How to add a location and map

Show guests where to go with an address and a real Google map, and hide it until they verify if it's your home.

The **Location** block shows your address with a Google map guests can tap for directions. If it's your home, you can keep the address and map hidden until a guest confirms a quick code.

1. In the editor, tap a **+** where you want it and pick **Location**. See [how to add and move blocks](https://headsup.rsvp/help/add-and-move-blocks) if you're new to blocks. Then tap the pencil on the new block to open it.

2. Type the address the way you'd like guests to read it.

3. For the map, open the place in Google Maps, tap Share and copy the link, then paste it into the second box. Short share links work, HeadsUp expands them for you.

4. Want the address private? Switch on **Guests verify to see this (code check)**. Tap **Done**.

With the switch on, guests see a code card where the address and map would be, until they verify.

#### Good to know

- No map link? That's fine. The map searches for the address instead. If HeadsUp doesn't recognise a link, it says so under the box and falls back to the address.
- The code goes to the mobile or email you have for each guest. [How the code check works](https://headsup.rsvp/help/hide-details-until-guests-verify).
- The first address on your invite goes into the event when guests add it to their calendar. A hidden address never does, even after they verify.

### How to add an agenda or run sheet

List what's happening and when, from arrival to last drinks, or use the same block for a menu.

The **Agenda** block lists things in order, each with a time, a title and an optional note. It's made for a run sheet, but it works just as well for a menu or anything else you'd list.

1. In the editor, tap a **+** where you want it and pick **Agenda**, then tap the pencil on the new block to open it. See [how to add and move blocks](https://headsup.rsvp/help/add-and-move-blocks) if you're new to blocks.

2. Fill in each row: a time at the top (anything goes, like "7 pm" or "Later"), what's happening underneath, and a note if you like.

3. Something guests can skip? Switch on **Optional** under that row and guests see it marked as optional.

4. Tap **Add slot** for another row. Use the arrows to move a row up or down. To remove one, tap its cross, then tap it again to confirm. Tap **Done** when you're finished.

Here's how the agenda looks to guests.

#### Good to know

- Times are plain text, so "Arvo", "From 6" or "TBC" are all fine.
- The agenda looks after its own styling. Changing your theme restyles it to match.
- A long run sheet can live on its own tab so the front of your invite stays short. See [how to add a tab](https://headsup.rsvp/help/add-a-tab).

### How to add a poll

Ask guests a question on your invite, like which Saturday works or what to eat, and watch the votes come in.

A **Poll** block lets guests vote right from their invite. Pick the question, the options and how many they can choose. Voting is one tap, with no code needed.

1. In the editor, tap a **+** where you want it and pick **Poll**, then tap the pencil on the new block to open it. See [how to add and move blocks](https://headsup.rsvp/help/add-and-move-blocks) if you're new to blocks.

2. Type your question at the top, then fill in the options.

3. Tap **Add option** for more. Use the arrows to reorder, and tap an option's cross twice to remove it.

4. Choose how many options each guest can pick: **Pick one**, **Pick any**, **Pick up to…**, **Pick exactly…** or **Pick at least…**. The last three ask for a number.

5. Decide on the two switches. **Guests can suggest options (code check)** lets guests add their own option. **Show counts to guests** shows everyone the tallies, or switch it off so only you see them. Tap **Done**.

Guests tap their picks and then **Lock in my picks**. They can change their vote any time.

#### Good to know

- You see every vote, and who picked what, on the event's **Responses** screen, under **Activity**.
- Guests only need a 6-digit code to suggest an option, not to vote. [Why guests are asked for a code](https://headsup.rsvp/help/hide-details-until-guests-verify).
- Options guests add show under **Added by guests** in the poll's sheet. Tap the cross beside one to remove it.

### How to run a potluck (bring a plate)

Add a shared bring-a-plate list to your invite so guests can see what's covered and nobody brings the fifth pavlova.

The **Potluck** block puts a shared list on your invite. Guests add what they're bringing, and everyone can see what's already on the table.

1. In the editor, tap a **+** where you want it and pick **Potluck**, then tap the pencil on the new block to open it. See [how to add and move blocks](https://headsup.rsvp/help/add-and-move-blocks) if you're new to blocks.

2. Type the question guests see above the list, like "What are you bringing?". Tap **Done**.

3. Guests see the list with each person's name, dish and note. To add their own, they confirm a quick 6-digit code, then fill in **What are you bringing?** and tap **Add my plate**.

4. Someone told you in person? Open the event's **Responses** screen, tap **Activity** and scroll to the **Bring a plate** card. Type who it's from and what they're bringing, then tap **Add for them**. You can remove any plate from there too, with the cross beside it.

#### Good to know

- Reading the list is open to every guest. Adding to it needs the code, so a forwarded link can't fill it with nonsense. [How the code check works](https://headsup.rsvp/help/hide-details-until-guests-verify).
- Guests who hid their name on their RSVP show as "Someone" on the list. You always see real names.
- There's one list per event, so one Potluck block is all you need.
- Guests with no mobile or email on file can't get a code. Add their plate for them, or add a contact to their guest entry.

### How to collect money with a chip-in

Ask guests to chip in for pizzas or a gift, keep your PayID private, and see who has paid.

The **Chip-in** block asks guests to put in for something, like the food or a group gift. Your payment details stay hidden until a guest confirms a 6-digit code, and guests tap a button once they've paid so you can keep track.

HeadsUp doesn't take or hold any money. Guests pay you directly, the way you ask them to, such as by PayID or bank transfer.

1. In the editor, tap a **+** where you want it and pick **Chip-in**, then tap the pencil on the new block to open it. See [how to add and move blocks](https://headsup.rsvp/help/add-and-move-blocks) if you're new to blocks.

2. Type how much, like "$10", and what it covers, like "pizzas and drinks".

3. Add a label guests see, like "PayID", and then your actual payment details underneath. Those stay private until a guest verifies. They save on their own. Tap **Done**.

4. Guests see the amount, what it's for and how many people have chipped in. After they verify, your details appear with an **I've chipped in** button to tap once they've paid.

#### Good to know

- Guests see how many people have chipped in, never who. You see the names on the event's **Responses** screen, under **Activity**, in the **Chip-in** card.
- A guest who tapped by mistake can tap **Take it back**.
- The **I've chipped in** tap is the guest's word, not a payment record. Check your bank for the money itself.

### How to add a sign-up sheet

List the jobs that need doing, like an ice run or setup crew, and let guests put their name down.

The **Sign-up list** block turns "can someone grab ice?" into jobs guests can claim. You set the jobs and how many people each one needs, and guests put their name on one. Once a job is full, it shows as covered.

1. In the editor, tap a **+** where you want it and pick **Sign-up list**, then tap the pencil on the new block to open it. See [how to add and move blocks](https://headsup.rsvp/help/add-and-move-blocks) if you're new to blocks.

2. Type a line guests see at the top, like "Can you help with one of these?". Then name each job.

3. Beside each job, set how many people it needs under **People**.

4. Tap **Add a job** for another. Use the arrows to reorder, and tap a job's cross twice to remove it. Tap **Done**.

Guests see each job, how many spots are taken and who's on it. After a quick 6-digit code, they tap **I'll take it** to claim a spot, or **Hand it back** to let it go.

#### Good to know

- A job stops taking names once it's full, and shows as **Covered**.
- Names on the list are visible to every guest, so people know who they're teaming up with. Guests who hid their name on their RSVP show as "Someone". You always see real names on the event's **Responses** screen, under **Activity**, in the **Sign-up** card.

### How to add an FAQ

The **FAQ** block lists questions with their answers tucked underneath. Guests tap a question to open its answer, so the page stays tidy however many you add.

Guests see each question as a row. A tap opens the answer.

#### Good to know

- An FAQ can go in an update too, if a question keeps coming up after the invites are out.
- If guests can send you questions from the invite, you can answer them one by one as well. See [how to answer guest questions](https://headsup.rsvp/help/answer-guest-questions).

### How to add link buttons

Add big tappable buttons to your invite for a playlist, a gift registry, a group chat or anything with a link.

The **Link buttons** block puts full-width buttons on your invite, each opening a link. Handy for a shared playlist, a gift registry, a group chat or a booking page.

2. Type the button's label, like "The playlist".

3. Paste the link underneath, starting with https://.

4. Tap **Add link** for another button. Use the arrows to reorder, and tap a link's cross twice to remove it. Tap **Done**.

Guests see one button per link. Links open in a new tab, so your invite stays open behind them.

#### Good to know

- In the editor, tapping a button selects the block instead of opening the link, so you can edit it. Use the guest preview to try the links. See [how to preview your invite as a guest](https://headsup.rsvp/help/preview-your-invite-as-a-guest).
- A button with no link doesn't show on the invite. One with no label shows the link itself.

### How to add a countdown

Add a live countdown to your event's start, so guests see how many days are left every time they open the invite.

The **Countdown** block counts down to your event, live. It works out the time from your event's own date and start time, so there's nothing to set except an optional line underneath.

1. In the editor, tap a **+** where you want it and pick **Countdown**, then tap the pencil on the new block to open it. See [how to add and move blocks](https://headsup.rsvp/help/add-and-move-blocks) if you're new to blocks.

2. Type a line to sit under the numbers if you like, such as "until the pizza lands". Tap **Done**.

Guests see how long is left, in days, then hours, then minutes as the event gets close.

#### Good to know

- The countdown needs your event to have a date. With no date yet, guests see nothing and the editor shows a reminder in its place. You can set the date on the RSVP card or the event's **Overview**.
- Once the event starts, the countdown steps aside on its own. Guests see nothing there, and you don't need to remove it.
- Change the event's date or time and the countdown follows.

### How to add photos to your invite

Put a photo anywhere on your invite with the Photo block, with a caption underneath if you like.

The **Photo** block puts a picture in the flow of your invite, like last year's party, the venue's front door or the birthday kid. Your theme frames it to match the rest of the page.

1. In the editor, tap a **+** where you want it and pick **Photo**, then tap the pencil on the new block to open it. See [how to add and move blocks](https://headsup.rsvp/help/add-and-move-blocks) if you're new to blocks.

2. Tap **Add a photo** and pick a picture from your phone or computer. On a computer you can drag one straight onto the box.

3. Add a caption to show under the photo if you like.

4. Describe what's in the photo in a few words. Guests who use a screen reader hear this instead of seeing the picture. Tap **Done**.

Here's how it looks to guests.

#### Good to know

- Photos can be JPEG, PNG, WebP or GIF, up to 12 MB each.
- To swap the picture, open the block and tap **Replace**. The cross beside it removes the photo.
- A Photo block with no picture doesn't show on the invite.
- On a computer, you can also drop a picture onto an existing Photo block right on the page.

### How to add guests to your event

Add guests one at a time with a name and a mobile or email, or with just a name if you'll pass their link on yourself.

Every guest on your list gets their own personal link, so you can see who's opened the invite and who's replied. Adding someone takes a name and, if you have it, a way to reach them.

1. Open your event and tap the **Guests** tab.
2. Tap **Add guest**.

3. Type their **Name**, then their **Phone**, their **Email**, or both. You can pop them into **Groups** too, which saves them to your People list for next time.
4. Tap **Add guest**.

They land on your list straight away, marked **Not sent** until you send their invite.

#### Good to know

- A phone number needs to be an Australian mobile for now. If it isn't, leave it blank and add an email, or copy their link and send it yourself.
- No phone or email is fine. You can copy their link and pass it on however you like. They just can't get a code to unlock hidden details, so you'd record their reply for them, or add a number or email later.
- If someone already on the list has the same number, you'll see a heads-up. You can still add them, handy for a couple sharing a phone, but each guest gets their own text on every send.
- Only add people who are happy to hear from you.
- Each plan has a guest limit per event: 150 on Free, 300 on Plus, 750 on Pro, and up to 10,000 on the business plans. The count at the top of **Guests** shows how many spots you've used.
- Guests never need an account. They just tap their link.

### How to import a guest list

Bring lots of guests in at once by pasting a list, importing a spreadsheet, or picking people you've invited before.

Typing guests in one by one gets old fast. There are three quicker ways to fill your list, all under the **More** button on the **Guests** tab: paste a list, import a spreadsheet, or pick from people you've saved before.

#### Paste a list

1. On **Guests**, tap **More**, then **Add many at once**.
2. Paste or type your guests, one per line, as **Name, phone, email**. Only the name is needed. HeadsUp shows you how it read each line, and anyone without a phone or email is marked **Copy-link only**.
3. Tick **These people are happy to hear from me.**
4. Tap **Add** with the number of guests, for example **Add 3 guests**.

#### Import a spreadsheet

1. Save your list as a CSV file from Excel, Numbers or Google Sheets. Put column headings in the first row and one person per row under it. Not sure how to lay it out? Tap **Download a starter file** for a ready-made one.
2. On **Guests**, tap **More**, then **Import a spreadsheet**, and tap **Choose a CSV file**.
3. Check which column is which. HeadsUp has a guess, but you can change any of them or pick **Skip this one**. The name needs a column, either one **Name** column or **First name** and **Last name**. Tap **Next**.

4. If you like, type a group under **Pop everyone into a group**. Tick **These people are happy to hear from me.** and tap **Import**.

5. They're now saved in your People. Tap **Pick them into this event** to put them on the guest list, then tap **Add** in the list that opens.

#### Pick from your people

Everyone you've ever added is saved in your People list, so inviting the same crowd again is a few taps.

1. On **Guests**, tap **More**, then **Add from my people**.
2. Search by name or tap a group to narrow the list, then tick the people you want. Anyone already invited shows **On the list**.
3. Tap **Add**, for example **Add 1 person**.

#### Why we ask you to tick the box

Texting or emailing a list of people is something Australian spam law cares about. You need their permission to message them, so HeadsUp asks you to say so each time you bring in a batch, and we record the date you ticked it, in case anyone ever asks. Adding one guest at a time just shows a reminder instead.

#### Good to know

- Everyone you import also lands in your People list. Someone who matches a person you've already saved gets freshened up, not duplicated.
- Numbers need to be Australian mobiles for HeadsUp to text them. A pasted line with another kind of number needs fixing or removing before you can add the list. A spreadsheet row with one is still saved, just without texting.
- Spreadsheet rows without a name are left out.
- Your plan's guest limit per event still applies. If a big list would go over, HeadsUp tells you, and anyone who already made it in stays in.
- In the HeadsUp app on your phone, **More** also has **Add from your contacts**, which picks people straight from your phone's address book.

### How to copy a guest's personal link

Every guest has their own link. Copy it to send yourself by WhatsApp, Messenger or anywhere else, without marking it opened.

Every guest gets their own personal link. It's how HeadsUp knows who opened the invite and whose reply is whose. When you'd rather send it yourself, say in a group chat or a DM, copy it straight from their card.

1. Open your event and tap the **Guests** tab.
2. Find the guest and tap **Copy link**. The button says **Copied** for a moment.

3. Paste it wherever you're messaging them.

On a phone, you can also tap the three-dot button on their card and choose **Share link** to hand it straight to another app.

#### Why it's a button, not a link you can tap

HeadsUp marks a guest **Opened** the first time their link is opened. If you could tap it from your own list, you'd open it yourself and it would look like they'd seen it. So it only ever copies. Want to see what your guests see? Use [preview as a guest](https://headsup.rsvp/help/preview-your-invite-as-a-guest) instead. If you've opened someone's link by accident, you can [mark them unread](https://headsup.rsvp/help/mark-a-guest-unread).

#### Guests you can't send to

A guest with no phone or email, or one you can't reach any more, is link only. Copy their link, pass it on yourself, then tap **Mark sent** on their card so your list knows it's gone out. Changed your mind before they've opened it? Tap **Undo**.

#### Good to know

- Each link belongs to one guest. If it's forwarded, whoever opens it can reply as that guest, so send each person their own.
- If a link has been shared around, tap the three-dot button, then **New link**. The old one stops working straight away, their reply stays, and you send or copy the new one yourself.
- Guests never need an account. The link is all they need.

### How to mark a guest unread

Opened a guest's link by accident? Mark them unread so their invite shows as sent, not opened.

HeadsUp shows **Opened** on a guest's card once their link has been opened. If that was you, maybe checking the link worked before passing it on, the list is now telling you something that isn't true. Marking them unread fixes it.

1. On the **Guests** tab, find the guest and tap the three-dot button on their card.
2. Tap **Mark unread**.

Their card goes back to **Sent**, as if nobody had opened it yet.

#### Good to know

- **Mark unread** only shows on guests marked **Opened**.
- It only clears the opened mark. Any reply they've already sent stays put.
- When the guest opens their link for real, they'll show as **Opened** again.

### How to let guests bring a plus one

Turn on plus ones so guests can add people from their invite. Choose how many each, whether you approve them, and how their invites go.

With plus ones on, your guests can add people themselves, straight from their invite. Each plus one gets their own personal link and replies for themselves, so your headcount stays honest.

1. Open your event on the **Overview** tab and scroll down to **Plus ones**.
2. Tap **On**.

3. Under **Each guest brings**, pick **1 plus one**, **Up to 2**, **Up to 3** or **No limit**. Or type your own number in **Custom**.
4. Under **New plus ones**, pick **Everyone's in**, or **I approve each one** if you'd like to check them first.
5. Under **Invites go by**, pick **Email only** or **Text or email**.

Your changes save as you go. You can also switch plus ones on in the last step when you [create an event](https://headsup.rsvp/help/create-an-event).

#### What your guests see

Guests tap **Bring a plus one** on their invite, confirm it's them with a quick code, then add a name, plus a phone or email if they have one. Their plus one gets an invite with their own link. See [how guests bring a plus one](https://headsup.rsvp/help/bring-a-plus-one).

#### If you approve each one

New plus ones wait in a **Waiting** section at the top of your **Guests** tab. Tap **Approve and send** to let them in and send their invite (just **Approve** when there's no phone or email to send to), or tap **Remove**. Removing never costs you anything, because nothing was sent.

#### Good to know

- On your **Guests** list, a plus one's card says who brought them, for example **Plus one of Priya Sharma**.
- With **Text or email** picked, each plus-one invite that goes by text uses one of your texts, and it's your guests who decide when one goes out. Email invites are free. With **Email only**, guests can still type a number and it's kept for you.
- Plus ones can't bring plus ones of their own.
- Plus ones count towards your plan's guest limit for the event.
- You can hear about new plus ones by text, email or push. Set that up in the **Notifications** card on the same screen.

### How to share a public link to your event

Turn on one link anyone can open, so people can see your invite and add themselves to the guest list after a quick code check.

Normally every guest gets their own personal link. A public link is one link for everyone, handy for a social post, a group chat or a poster. Anyone who opens it sees the invite, and they can join your guest list themselves by confirming their email or mobile with a 6-digit code.

1. Open your event on the **Overview** tab and scroll down to **Public link**.
2. Tap **On**.

3. Tap **Copy link** and share it wherever you like.
4. Under **Join with**, choose what people confirm to join: **Email**, **Mobile** or **Either**. If the event's **Verification codes** are set to **Email only**, people always join with an email, and **Mobile** and **Either** stay greyed out until you switch codes to **Text or email**.
5. Under **Joins**, pick **Anyone with the link**, or **I approve each join** if you'd like to check people first. Under **Spots**, you can set the most guests you'll take.

The public link also sits at the bottom of the **Send** tab, with its own **Copy link** button.

#### How joining works

Someone opens your link, taps to join, and types their name and email or mobile. They get a 6-digit code, and once they've entered it they're on your list with their own personal link, already counted as going. They can change their reply any time. If they were already on your list, they simply pick up where they left off. See [how joining from a public link works](https://headsup.rsvp/help/join-from-a-public-link).

With **I approve each join**, new joiners wait in a **Waiting** section at the top of your **Guests** tab until you tap **Let them in**.

#### Good to know

- Treat everything on the invite as public, updates included. Joining unlocks hidden details and locked tabs, so with **Anyone with the link** picked, those reach anyone who joins.
- Guest names show as "Someone" to people who haven't joined.
- Email codes are free. Mobile codes use your texts, and anyone who finds the link can ask for one, so a public link can use texts much faster than a guest list would. If you run out of texts, people can only join with an email. With **Join with** set to **Mobile**, nobody can join until you top up.
- Turning the link off kills it. Turning it back on makes a fresh link, so old shares stay dead.
- Leave **Spots** blank to go up to your plan's guest limit. When the event's full, new people are told before any code is sent.
- Public links work on every plan, Free included.

### How to edit or remove a guest

Fix a guest's name, number or email, add a private note, or take someone off the list. Here's what happens to their link and code check.

Typo in a number? Someone changed their email? You can fix a guest's details right on their card, and take them off the list if plans change.

#### Edit a guest

1. On the **Guests** tab, find the guest and tap the three-dot button on their card.
2. Tap **Edit**.

3. Change their **Name**, **Phone** or **Email**. There's also a **Private note** for anything worth remembering. Guests never see it.
4. Tap **Save**.

5. If you changed their phone or email, HeadsUp asks whether to give them a new link. Tap **New link** if the old one might have gone to the wrong person, or **Not now** to keep it. Either way, their reply stays.

#### What happens when you change a number or email

Guests unlock hidden details by entering a code sent to their phone or email. That check belongs to the number or email it was sent to. So when you change or clear one, any check they passed on the old one is cleared, and they'll get a fresh code at the new one next time. It's there for the classic mistyped number: whoever had the wrong number can't keep seeing the private details.

- Writing the same number a different way, like 0400 000 000 or +61 400 000 000, doesn't count as a change.
- Adding a phone or email they didn't have before clears nothing.
- If a text couldn't be delivered or an email bounced, fixing the number or email clears that warning so you can send again.
- If a guest asked to stop texts or emails, editing their details doesn't undo that. Only they can turn it back on.

#### Remove a guest

1. Tap the three-dot button on their card, then **Remove**.
2. Tap **Remove** to confirm, or **Keep them** if you've changed your mind.

They come off this event's guest list along with any reply, and their link stops working. There's no undo, but if they're saved in your People list they stay there, so you can add them back any time. Their reply would start fresh.

#### Good to know

- To stop a shared link working without removing the guest, use **New link** from the same menu.

## Sending invites

### How to send invites by text

Text each guest their personal invite link from the Send tab. Pick who gets it, write a short message and tap send.

Texts are the quickest way to get a yes. Each guest gets a text from **HeadsUp** with your message and their own personal link, so you can see who's opened it and who's replied.

1. **Choose who gets it.** On the **Guests** tab, everyone you can reach is ticked. Tap a guest's card to leave them out of this send, or tap it again to put them back. The **Send to** pill at the top shows how many are in. Tap it to go to the **Send** tab.

2. **Write your message.** A starting message is filled in for you. Change it however you like. Each guest's link is added on the end automatically, and **What lands on their phone** shows a preview.
3. **Check the count.** The box under the message shows how many texts it takes per guest. Keep it short and it's one.

4. **Pick how it goes.** Under **Send by**, **Text first** texts anyone with a number and emails the rest. **Text only** just texts. **Both** sends a text and an email.
5. **Send it.** The button shows how many guests and how many texts it'll use, for example **Send to 11 guests**. Tap it.

When it's done, you'll see how many went out, and any guests who were skipped. Their cards on the **Guests** tab say why.

#### Good to know

- Texts come from your texts balance, shown at the top of the screen. Paid plans include texts every 30 days, and anyone can [buy a text pack](https://headsup.rsvp/help/buy-texts). If a send needs more texts than you have, nothing goes out and you'll see how many you're short.
- HeadsUp can text Australian mobiles for now. Guests with another number can get an email, or you can [copy their link](https://headsup.rsvp/help/copy-a-guests-link).
- The text shows **HeadsUp** as the sender, or your own sender name if you've had one set up on a business plan. Either way guests can't reply to it. They reply on their invite, and they can stop texts from there too.
- Want one guest to always get an email instead? Change **Default** on their card to **Email**. Each card also shows how it'll send, for example **Sends by text**.
- Once you tap send, it keeps going even if you close the app.
- Guests you've already sent to can be sent to again. Choose who carefully, because every text counts. To nudge only the people who haven't answered, see [how to send a reminder](https://headsup.rsvp/help/send-a-reminder).

### How to send invites by email

Email every guest their personal invite link for free, on every plan. Pick Email only on the Send tab and tap send.

Email invites are free on every plan, Free included. Each guest gets an email with your message and a big **Open your invite** button that takes them to their own personal link.

1. On the **Guests** tab, check who's ticked for the send. Tap a card to leave someone out.
2. Open the **Send** tab and write your message. Blank lines split it into paragraphs in the email.
3. Under **Send by**, tap **Email only**.
4. Tap the send button, for example **Send to 6 guests**.

The email's subject is "You're invited:" followed by your event's name.

#### Mixing email and text

You don't have to pick one. **Text first** texts anyone with a mobile and emails everyone else, and **Both** sends both. On any guest's card on the **Guests** tab, you can change **Default** to **Email** so that person always gets an email.

#### Good to know

- Email never uses your texts.
- Guests with no email are skipped when you pick **Email only**. Their cards say why, and you can [copy their link](https://headsup.rsvp/help/copy-a-guests-link) instead.
- Every invite email has a line at the bottom to stop emails about this event. If a guest uses it, their card says **Opted out of emails** and later sends skip them.
- If an email bounces, the guest's card says **Email bounced**. Fix the address and you can send again. See [how to check delivery](https://headsup.rsvp/help/check-delivery).
- If your paid plan has ended, there's a limit on how many guests one email send can reach. The **Send** tab tells you the number, and texts still send at any size.

### How to schedule a send

Write your invite now and have it go out later. Pick a date and time, and HeadsUp sends it for you, texts set aside.

Want invites to land at a good time, like Saturday morning rather than midnight when you finished setting up? Schedule the send and HeadsUp does it for you.

1. Choose your guests on the **Guests** tab, then open **Send**, write your message and pick how it goes under **Send by**, the same as a normal send.
2. Tap **Send later**.

3. Under **Sends at**, pick a date and a time.
4. Tap **Schedule send**.

A **Scheduled** card shows when it'll go and how many texts are set aside for it. Tap **Move it** to change the time, or **Cancel this send** to call it off.

#### Good to know

- Times are in the event's time zone when it has one, otherwise your own.
- Pick a time at least five minutes from now.
- Your texts are set aside the moment you schedule, so they're kept for this send even if your plan's included texts would run out before then.
- Cancel and the set-aside texts go back to your balance. If they came from included texts that have since ended, those ones can't come back, and the card warns you before you cancel.
- **Move it** can shift the send up to two weeks either side of the time you first booked. For a bigger move, cancel and schedule it again.
- Who gets it is worked out when it goes, so guests you add in the meantime are included.
- If you run short of texts when it goes, guests who'd have got a text get an email instead.
- While a send is scheduled, the send button waits. Cancel the scheduled one to send straight away.
- You'll only hear from us about a scheduled send if something went wrong.
- On Free, invites go out the moment you tap send. Scheduling comes with Plus and up. See [compare plans](https://headsup.rsvp/help/compare-plans).

### How to send a reminder to guests who haven't replied

Nudge only the guests who haven't answered yet with a follow-up text or email, now or at a time you pick.

Some people need a second nudge. A follow-up goes only to guests who haven't replied, so the people who've already said yes, maybe or no aren't bothered again.

1. Open your event and tap the **Send** tab.
2. Under **Send to**, tap **Haven't replied yet**. The count changes to just the guests still to reply.

3. A follow-up message is filled in for you. Change it if you like. Your guests' links are added on the end, as always.
4. Tap the send button, for example **Send follow-up to 3 guests**.

#### Good to know

- A guest who's answered anything, even maybe, counts as replied and is left out.
- Anyone you've unticked on the **Guests** tab stays out of the follow-up too.
- On Plus and up, you can tap **Send later** to schedule the follow-up. Whoever still hasn't replied when it goes gets it, so someone who answers in the meantime is left alone. See [how to schedule a send](https://headsup.rsvp/help/schedule-a-send).
- Texted follow-ups use your texts, like any send. Emails are free.
- HeadsUp doesn't send reminders on its own. Nothing goes to your guests unless you send it.

### How to check your invites were delivered

See who's been sent their invite, who's opened it, and whose text or email didn't get through, then fix it and send again.

Every guest's card on the **Guests** tab tells you where their invite is at: **Not sent**, **Sent** or **Opened**. If a text or email didn't get through, the card says so in red.

1. On the **Guests** tab, tap **Any invite status** to show just the guests you're after, such as **Not sent**, **Sent, not opened** or **Delivery failed**.

2. A guest whose invite didn't arrive wears a **Delivery failed** tag, with the reason underneath, like **Last text couldn't be delivered** or **Email bounced**.

3. Check the number or email with them, then [edit the guest](https://headsup.rsvp/help/edit-or-remove-a-guest) to fix it. Fixing it clears the warning, and you can send to them again. Or [copy their link](https://headsup.rsvp/help/copy-a-guests-link) and send it another way.

The **Send** tab also warns you when invites haven't got through, with a link straight to the guests.

#### What the words mean

- **Not sent** means nothing has gone to them yet.
- **Sent** means their text or email went out. Right after a send, cards also show **Sent**, **Skipped** or **Didn't send**. If the network reports a problem a few minutes later, **Sent** changes to **Didn't deliver**.
- **Opened** means they've opened their personal link at least once.
- **Delivery failed** means the phone network or their email provider told us it didn't arrive. That can come in a few minutes after the send.

#### Good to know

- A text the network reports as undelivered doesn't cost you. Its texts go back to your balance.
- Until you fix the number or email, later sends skip that way of reaching them, so you don't pay for texts that won't land.
- A guest's card also says if they've asked to stop texts or emails, like **Opted out of texts**. That's their choice, and only they can turn it back on from their invite.
- Texts can't tell us when they've been read, so **Opened** is the best sign someone's seen it.

### How texts are counted

What one text is, why a long message or an emoji can count as more, what else uses texts, and when texts come back to you.

Your texts balance sits at the top of the screen. One text is one SMS to one guest, up to 160 characters. Emails and push notifications never use texts.

#### How many texts a message takes

The box under your message on the **Send** tab counts it for you, as **text per SMS guest**. Your guest's personal link is added to every message and counts towards the length, so the count already includes it.

- Up to 160 characters, link included, is one text.
- Longer than that, it still lands as one message on their phone, but it's counted in chunks of 153 characters. So 161 to 306 characters is two texts, and so on.
- An emoji, or letters from a script like Chinese or Arabic, switches the whole message to a different kind of SMS that fits only 70 characters, then 67 per chunk. A single emoji can double what a message costs.
- A few symbols, like € and square or curly brackets, count as two characters.
- Curly quotes and long dashes from your phone's keyboard are swapped for plain ones automatically, so they don't bump the count.

#### What a send costs

Beside the send button, HeadsUp adds it all up: texts per guest times the guests getting a text. Guests who get an email instead cost nothing.

If a send needs more than you have, nothing goes out and you'll see how many you're short. You can [buy a text pack](https://headsup.rsvp/help/buy-texts) and send again.

#### Other things that use texts

- **Verification codes by text.** When a guest asks for a code by text to unlock hidden details, it uses one of your texts. Set **Verification codes** to **Email only** on the **Overview** tab to keep codes free. So a guest is never stuck at the gate, a text code still goes out even if you've just run out.
- **Public link join codes by text**, if you let people join with a mobile. These only go out while you have texts, then the join form switches to email.
- **Plus-one invites by text**, if you picked **Text or email** for them. One text each.
- **Texts to you** about replies, questions, plus ones or polls, if you've turned those on in your notifications. One text each.
- **Answers by text**, when you answer a guest's question and let them know by text.

On a shared event, every text comes off the event owner's balance, whoever sends it.

#### When texts come back

- If a text couldn't be delivered, the texts it used go back to your balance.
- A scheduled send sets its texts aside when you book it. Cancel it and they go back, unless they were included texts that have since ended.
- Tap your texts balance at the top of the screen to open your **Texts history**. It lists every top-up, spend and expiry, with the balance each one left.

#### Good to know

- Texts included with a plan are used first, and they last for the 30 days they come with. Texts you buy in a pack don't expire.
- Texts come from **HeadsUp**, or from your own sender name if you've set one up on a Business plan. Either way, guests can't reply to them by text.

## RSVPs and responses

### How to see who's coming

Check who's going, who's a maybe and who hasn't replied yet, then narrow the list or record a reply someone gave you in person.

Every reply lands on your event's **Responses** screen the moment a guest taps it. The counts sit at the top, and the whole guest list sits under them, so you can see who's in, who's still thinking, and who you might need to nudge.

1. Open your event and tap **Responses**. The line under the title counts who's in, like "5 of 14 are in."

2. The tiles show how many guests are **Going**, **Maybe** and **Can't go**, out of everyone **Invited**. Tap a tile to narrow the list below to just those guests. Tap it again, or tap **Invited**, to see everyone.

3. Scroll down to the list. Type in **Find a guest** to search by name, or use the filters to narrow by reply, invite status, arrival or group. Switch between **Compact** and **Detailed** to see more on each row.

4. Tap a guest to see their story: when their invite was sent, when they opened it and when they replied. If they told you in person, pick **Going**, **Maybe** or **Can't go** under **Their reply** and tap **Save reply**. **Clear reply** takes a reply back off.

#### Good to know

- Your event's **Overview** shows the same tiles, so you can check the numbers without leaving it.
- The screen updates live. Leave it open and new replies turn up on their own.
- A guest can hide their name from the other guests. You still see them. Their details say "Hides their name from other guests".
- If some of your invites didn't arrive, a red line above the tiles says how many. Tap **See who below** to list those guests.
- Guests waiting for your OK, like plus ones or people who joined from your public link, show under a **Waiting** tab. See [How to allow plus ones](https://headsup.rsvp/help/allow-plus-ones).
- Guests never need an account to reply.

### How to see your guests' dietary needs

See a tally of dietary needs for everyone who's going, check each guest's note, and add one for them.

When guests reply, your invite asks about dietary needs. HeadsUp adds up the answers from everyone who's going, so you know how many vegetarian or gluten free plates to order without counting by hand.

1. Open your event and tap **Responses**. The **Dietary** card, marked **Going**, lists each need with how many going guests picked it.

2. To see who asked for what, look down the guest list. Each guest's need sits under their name, next to a fork and knife.

3. To add or fix a need for somebody, tap their name and type it in the dietary note under **Their reply**, then tap **Save reply**.

#### Good to know

- The tally counts guests who are going. A maybe or a can't go isn't counted, so the numbers match the plates you actually need.
- You choose the options guests pick from, and guests can always type their own with **Other…**. See [How to set up the RSVP card](https://headsup.rsvp/help/set-up-the-rsvp-card).
- The card only shows once at least one going guest has named a need.

### How to export your guest list

Download your guest list as a spreadsheet for a caterer or a door list, and on the Business plans, print a one-page event report.

Sometimes the list needs to leave HeadsUp: a caterer wants numbers, a venue wants names, or you just want your own copy. **Export your list** gives you a spreadsheet of everyone on the event, on every plan.

1. Open your event, tap **Guests**, then tap **More** and choose **Export your list**.

2. The dialog shows what comes down: names and contact details, RSVPs, dietary needs and reply dates, your private notes, and who's still waiting on approval. Tap **Download the spreadsheet**.

The file opens in Excel, Numbers or Google Sheets.

#### The event report (Business plans)

On the Business plans you can also turn the Responses screen into a one-page summary to forward to whoever signed off on the event.

3. On **Responses**, tap **Get the event report**.

4. The report shows who you invited, how many invites were sent, delivered and opened, how replies went, and the dietary needs of everyone going. Tap **Print or save as PDF**.

#### Good to know

- The essentials export is on every plan. The Business plans add the delivery story to the spreadsheet: what landed, what bounced and what failed, opens and verified contacts, who invited whom and how each guest joined, and each guest's questions with your answers.
- The spreadsheet has every guest on the event, not just the ones on screen, whatever filters you've set.
- Guests' personal invite links are never in the file, so it's safe to pass on.
- If a Business plan ends, the export goes back to the essentials and the report waits until you renew. Nothing is lost.

### How to answer guest questions

Read the questions guests send from their invite, write an answer, and choose whether to let them know by email or text.

Guests can ask you something straight from their invite: where to park, whether they can bring the dog, what to wear. Each question is private between you and that guest, and your answer shows on their invite.

Questions are off until you turn them on. Set **Guest questions** to **On** when you create the event, or turn on **Let guests ask you questions** in the editor's RSVP settings. See [How to set up the RSVP card](https://headsup.rsvp/help/set-up-the-rsvp-card).

1. Open your event, tap **Responses**, then tap the **Questions** tab. The number beside it counts questions waiting on you.
2. Tap a question to open that guest's details.

3. Under **Their questions**, type your answer in the box.
4. Choose how they hear about it: **Notify by email**, **Notify by text**, or **None** to just leave the answer on their invite.

5. Tap **Send answer**. The answer saves first, then the email or text goes.

#### Good to know

- Some questions are really notes, like "running late". Tap **Mark handled** to clear it without writing an answer. **Reopen** puts it back.
- Email is free. **Notify by text** sends a short nudge with their link and uses your texts. The screen shows how many it spends before you send.
- A pick is greyed out when it can't reach that guest, like **Notify by text** when you don't have their number. The reason shows under the picks.
- Each guest sees only their own questions and your answers, never anyone else's.
- The Overview's **Guest questions** card shows how many are waiting. You hear about new ones on the picks you set in [your notifications](https://headsup.rsvp/help/choose-your-notifications).
- Guests confirm it's them with a code before they can ask, so a forwarded link can't ask in someone else's name.

### How to check in guests at the door

Tick guests off as they arrive from your guest list on any plan, or scan their QR pass at the door on the Business plans.

On the day, HeadsUp can be your door list. Every plan can tick guests off as they walk in. The Business plans add a QR pass on each guest's invite and a door screen that scans them in, handy when the queue's long.

#### Tick guests off (every plan)

1. Open your event and tap **Guests**. On each guest's row, tap the person-with-a-tick button to mark them arrived. They get an **Arrived** tag. Tap it again to undo.

To see who's still to come, set the arrival filter above the list to **Not arrived yet**.

#### Scan guests in (Business plans)

2. On your event's **Overview**, find the **Door check-in** card and tap **On**. Every guest's invite now shows a QR pass.
3. On the day, tap **Open the door screen**. You can also get there from **Guests**, then **More**, then **Door check-in**.

4. Point your phone's camera at a guest's pass. The screen says they're in and the count at the top goes up. If a pass won't scan, type their name in **Or find them by name** and tap **They're in**.

#### Good to know

- The door screen needs your camera. The first time, your phone asks if HeadsUp can use it. Say yes, or find guests by name instead.
- Scanning somebody twice is fine. The screen says they're already in and doesn't count them again.
- A pass from another event, or from a guest still waiting on your approval, won't check in. The screen says why.
- The pass is just the guest's own invite link as a QR code. Scanned with a normal camera app, it opens their invite.
- Arrivals are only ever seen by you and your co-hosts, never by guests.
- If a Business plan ends, the passes and the door screen wait until you renew. Ticking guests off on **Guests** keeps working, and every arrival you've marked stays.

Every guest gets their own link, so HeadsUp can tell you who has actually opened their invite, not just who you sent it to. And when your invite has a poll, a chip-in, a sign-up list or a potluck, the **Activity** tab gathers what guests have done in one place.

#### Who's opened it

1. Open your event and tap **Responses**. Under the tiles, set the invite status filter to **Opened** to list everyone who has opened their invite. **Sent, not opened** shows who hasn't yet, which is handy before a reminder.

2. Tap a guest to see their invite's story under **Their invite**: when it was sent, when they first opened it and when they replied.

#### What guests have done

3. Tap the **Activity** tab. You'll find a card for each poll with its votes, each chip-in with who's marked they've paid, each sign-up list with who took which spot, and the potluck list of who's bringing what.

#### Good to know

- Your event's **Overview** also shows an **Opened** count beside the reply tiles.
- Tapped a guest's link yourself by accident? You can undo the open. See [How to mark a guest unread](https://headsup.rsvp/help/mark-a-guest-unread).
- Who voted for what, and who chipped in, is only shown to you and your co-hosts. Names on sign-up lists and the potluck are shown to guests, so they can see what's taken.
- Polls, chip-ins and sign-up lists you add to an update show here too, marked "From an update". See [How to ask guests something in an update](https://headsup.rsvp/help/ask-guests-in-an-update).
- On the potluck card you can add a plate for somebody who told you in person. Fill in who, what they're bringing and an optional note, then tap **Add for them**.

## Updates

### How to post an update

Tell every guest about a change of plan in one go, on their invite, then send a text or email so they know to look.

Plans change. The parking closes early, the venue moves, it's going to rain. Instead of texting everyone by hand, post an update. It shows on every guest's invite under an **Updates** tab, newest first, with the time you posted it.

1. Open your event and tap **Updates**, then tap **Post an update**.

2. The update opens looking just like it will on your invite. Tap **Add a block** and pick **Text**, or anything else from the list, like a **Location** or a **Photo**.

3. Write your update. The toolbar lets you add bold, colour, links and lists. When it reads right, tap **Post update**. It's on every guest's invite straight away.

4. Posting doesn't message anyone. To let guests know, tap **Notify guests** on the update.

5. You land on **Send** with a message already written, and each guest's link opens their invite straight onto this update. Change the message if you like, pick who gets it, and send it the way you'd send any message.

#### Good to know

- The ready-made message is sized to fit in one text. Texts come off your balance and emails are free. See [How texts are counted](https://headsup.rsvp/help/how-texts-are-counted).
- To fix a typo, tap the pencil on the update, make the change and tap **Save changes**. Guests see an **Edited** tag. The bin deletes it.
- An update can hold any block your invite can, including private details that only show once a guest verifies. Flip the **Locked view** switch while writing to see it the way guests do before they verify.
- Your event's **Overview** shows your latest update with a **Post an update** shortcut.
- Guests don't need an account to see updates. They're on the same link as their invite.

### How to ask guests something in an update

Put a poll, a chip-in or a sign-up list in an update, so guests can answer from their invite when plans change.

Sometimes a change of plan needs an answer: which side to order, who can chip in for the extra, who'll take the new job. Updates can carry a **Poll**, a **Chip-in** or a **Sign-up list**, and guests answer right on the update, the same way they would on the invite.

1. Start an update from **Updates** with **Post an update**, and write a line or two about what's changed. Then tap the **+** under your text and pick **Poll**, **Chip-in** or **Sign-up list**.

2. Tap the pencil on the new block to fill it in. For a poll, type your question and the options guests pick from.
3. Tap **Done**, then **Post update**.

4. To see the answers, tap **Responses**, then **Activity**. Anything from an update is marked **From an update**.

#### Good to know

- These blocks work just like they do on your invite. See [How to add a poll](https://headsup.rsvp/help/add-a-poll), [How to collect money with chip-in](https://headsup.rsvp/help/collect-money-with-chip-in) and [How to add a sign-up sheet](https://headsup.rsvp/help/add-a-sign-up-sheet).
- Voting in a poll only needs the guest's link. Marking a chip-in or claiming a sign-up spot asks them to confirm it's them with a code first.
- Deleting the update takes its poll, chip-in or sign-up list off the invite, along with its answers on your Activity tab.

## People

### How your People list works

Everyone you invite is saved to People, so you can add them to your next event in a couple of taps. Here's how to add, find and reuse them.

People is your own address book inside HeadsUp. Everyone you add to an event is saved there too, so the next time you host, you can pick them straight from the list instead of typing them in again.

1. Tap **People** in the bar at the bottom of the screen. On a computer it's in the menu on the left.
2. To save someone new, tap **Add person**.

3. Type their **Name**, then their **Phone**, their **Email**, or both. Tap any of your **Groups** to file them there, then tap **Save person**.

4. To invite saved people to an event, open the event's **Guests** screen, tap **More**, then **Add from my people**. Tick who you want, or pick a group, then tap the add button, such as **Add 3 people**.

#### More ways to add people

Tap **More ways to add** at the top of People to bring in lots of people at once.

- **Add many at once** lets you paste a list, one person per line.
- **Import a spreadsheet** reads a CSV file. See [how to import a guest list](https://headsup.rsvp/help/import-a-guest-list).
- **Add from your contacts** picks people from your phone's contacts, in the HeadsUp app on your phone.
- **Import from a CRM** brings people in from HubSpot on a Business plan. See [import contacts from a CRM](https://headsup.rsvp/help/import-contacts-from-a-crm).

When you add a lot of people at once, you're asked to tick **These people are happy to hear from me.** We record the date you ticked it.

#### Good to know

- Only add people who are happy to hear from you.
- Tap the pencil on anyone to change their details or groups. Opening someone also shows their history, such as when they were added and which events they were invited to.
- Search by name to find someone fast, and tap a group to see only the people in it. See [make a group](https://headsup.rsvp/help/make-a-group).
- People sorts itself into tabs by how someone arrived. **Added by you** is everyone you added. **Plus ones** and **Joined themselves** show up once a guest brings a plus one or someone joins from your public link.
- We can only text Australian mobiles for now. Anyone else can get their invite by email or their own link.
- Guests never need an account. People is just for you, and your guests never see it.

### How to make a group of people

File people into groups like Family or Work friends, then invite a whole group to an event in a couple of taps.

Groups keep your People list tidy and make inviting quick. Put your family in **Family** and your team in **Work friends**, and next time you host, you can add the whole group to an event at once. A person can be in as many groups as you like.

1. Tap **People**, find the person, and tap the pencil beside them.

2. Tap a group to put them in it. To start a new group, type its name in **New group** and tap the plus.

3. Tap **Save**.

4. Your groups show as tabs across the top of your People list, each with how many people are in it. Tap one to see just those people.

#### Invite a whole group

5. Open your event's **Guests** screen, tap **More**, then **Add from my people**. Tap a group to show just the people in it.

6. Tap **Select all shown**, then the add button, such as **Add 1 person**. Anyone already on the guest list is marked **On the list** and isn't added twice.

#### Good to know

- You can pick groups as you add people too: in **Add person**, when you paste a list with **Add many at once**, when you import a spreadsheet, and when you import from a CRM.
- Typing a group name that already exists picks that group rather than making a second one, whatever the capitals.
- A group disappears on its own once nobody is in it.
- On an event's **Guests** screen, the **Any group** filter shows only the guests from one of your groups.
- Groups are just for you. Guests never see which groups they're in.

### How to use your do-not-contact list

Keep one list of numbers and emails that none of your events will ever text or email. Managing it comes with the Business plans.

When a guest stops texts or emails from an invite, that only covers the one event. Your do-not-contact list goes further: add a number or an email, and no event of yours will text or email it again, including events you haven't made yet.

1. Tap **People**, then **Do not contact**.

2. Type the mobile number or email address.
3. Tap **Add**. It's on the list straight away, with why it's there and the date it was added.

#### When a guest asks you to stop

If a guest has already stopped texts or emails on one of your events, or marked one of your emails as spam, their details on the **Guests** screen offer **Stop contacting them everywhere**. One tap puts their number and email on your list.

#### Taking someone off

Tap the cross beside them and confirm with **Take them off**. Your events can message them again from then on.

#### Good to know

- The list is honoured on every plan, always. Even if your Business plan ends, nobody on it gets messaged, and you can still see the list and take people off it.
- Anyone on the list is skipped when you send, and the **Guests** and **Send** screens say why. They can still open their invite link and reply.
- A number matches however it's written, so 0400 000 000 and +61 400 000 000 are the same. Emails match whatever the capitals.
- Deleting or merging someone in People never takes them off this list, so deleting a person can't be a way to message them again.
- A verification code a guest asks for themselves still sends, because they asked for it.
- Each entry says why it's there: **You added**, **They asked to stop** or **They marked an email as spam**.

### How to delete or restore someone in People

Deleting a person moves them to Deleted, where you can restore them any time. Deleting for good takes 30 days and can be called off.

Nobody in People is deleted by accident. When you delete someone they move to a **Deleted** tab, and you can bring them back whenever you like. If you want their details gone for good, you can ask for that too, and it happens 30 days later.

#### Delete someone

1. Tap **People**, find the person, and tap the bin beside them.

2. Tap **Move to deleted**. Events they're already on keep them.

#### Restore someone

3. Tap the **Deleted** tab. It only shows while someone is in it.
4. Tap **Restore** on the person you want back. They go straight back to your People list.

#### Delete someone for good

5. In the **Deleted** tab, tap **Delete for good** on the person.
6. Read what happens and tap **Start the 30 days**.

Their row now counts down, such as **Gone for good in 30 days**. Changed your mind? Tap **Keep them** to call it off, or **Restore** to call it off and bring them back.

#### What's erased and what stays

When the 30 days are up, their name, number and email are erased. Their row stays in **Deleted** as **Erased person**, and it can't be restored.

Their history stays. Every person in HeadsUp keeps a record of what happened with them, such as when they were added, which events they were invited to and what was changed. After an erasure, each line of that record stays but the details in it go, so it says a number was changed without saying what it was. Tap **History** on any row in **Deleted** to read it.

#### Good to know

- Deleting someone from People, even for good, doesn't take them off any event's guest list. To take a guest off an event, see [edit or remove a guest](https://headsup.rsvp/help/edit-or-remove-a-guest).
- Deleting or erasing someone never takes them off your [do-not-contact list](https://headsup.rsvp/help/do-not-contact-list). A promise not to message someone outlives their details.
- You can read a person's history but not edit it. It's there so there's always an honest record.
- Two saved people who are really the same person? [Merge them](https://headsup.rsvp/help/merge-duplicate-people) instead of deleting one.

### How to merge duplicate people

When two saved people look like the same person, HeadsUp offers to merge them into one, keeping the best of both.

The same friend can end up in People twice, say once as "Tom Reilly" with his mobile and once as "Tom R" from another list. HeadsUp spots people who share a number or an email, or whose names look alike, and offers to merge them. Nothing is merged unless you say so.

1. Tap **People**. When there are possible duplicates, a note at the top says so, such as **2 saved people look like the same person**. Tap **Review**.

2. **Possible duplicates** shows the two people side by side and why they look alike. Tap the one you want to keep. HeadsUp picks the one with more details to start with.
3. Tap **Merge these two**. Or, if they really are two different people, tap **They're different people** to skip them.

4. If there are more pairs, the next one shows straight away. Tap **Done** when you've been through them all.

#### What a merge does

- The person you keep keeps their details, and anything they're missing fills in from the other one. If the kept Tom has no email and the other Tom has one, the email comes across.
- Their groups combine.
- Their spot on any event's guest list moves to the person you kept.
- The other person is removed from People.

#### Good to know

- Skipping a pair with **They're different people** only lasts until you leave the screen. The note will offer them again next time.
- An event's **Guests** screen has its own check for duplicate guests on that one event.
- Merging never takes anyone off your [do-not-contact list](https://headsup.rsvp/help/do-not-contact-list).

### How to import contacts from HubSpot

Connect HubSpot to bring your contacts into People. We only ever read, you see everyone before they come across, and nothing syncs on its own.

If your guest list already lives in HubSpot, you can bring it straight into People instead of exporting a spreadsheet. HeadsUp only reads your contacts. It never writes anything back to HubSpot, and nothing comes across until you've seen who it is and pressed import.

1. Tap **People**. On the **Import from a CRM** card, tap **Connect HubSpot**.

2. HubSpot opens and asks you to sign in and allow HeadsUp to read your contacts. Approve it, and you come back to People with HubSpot connected.
3. Tap **Import from HubSpot**. You can also find **Import from a CRM** under **More ways to add**.

4. Choose **Who comes across**: **Everyone**, **Only people with a phone number** or **Only people with an email**. If you like, **Pop everyone into a group**, and tick **Also group them by their company**. Tap **Next**.

5. Check the list of who's coming across. Tick **These people are happy to hear from me.**, then tap the import button, such as **Import 9 people**.

They're in People straight away, ready to add to any event. See [your People list](https://headsup.rsvp/help/your-people-list).

#### Good to know

- Nothing syncs by itself. Someone you add to HubSpot tomorrow only comes across when you import again.
- Anyone HubSpot has marked as unsubscribed is left out, and so is anyone with no phone or email. HubSpot doesn't tell us who has opted out of texts, so check before you send.
- Anyone on your [do-not-contact list](https://headsup.rsvp/help/do-not-contact-list) still won't be messaged, whatever HubSpot says.
- Someone whose number or email is already in People gets their blanks filled in rather than being added twice. We don't match on names here, so a colleague saved under a different email comes across as a new person, and HeadsUp offers to [merge them](https://headsup.rsvp/help/merge-duplicate-people).
- A big HubSpot account is read in batches of up to 2,000 people. Tap **Read the next batch** to carry on.
- To disconnect, tap **Disconnect** on the card. Everyone you already brought in stays in People. If HubSpot doesn't hear from us, the card says so, and you can remove HeadsUp in your HubSpot account settings too.
- If your Business plan ends, importing pauses straight away. Everyone you brought in stays, and you can still disconnect.
- HubSpot is the one CRM you can connect for now.

## Co-hosts

### How to add a co-host

Invite somebody to run an event with you. They edit the invite, add guests and send from their own HeadsUp account.

Running an event with a partner, a friend or a workmate? Add them as a co-host. They sign in to their own HeadsUp account and can change anything on the event, while it stays yours.

1. Open your event and scroll down the **Overview** to the **Co-hosts** card.
2. Under **Co-host's email**, type the email they sign in to HeadsUp with.
3. Tap **Invite**.

4. We email them to say they've been invited. If you'd like to tell them yourself too, tap **Copy a message to send them** and paste it into a chat.

5. Next time they sign in, the invitation waits at the top of their **Events** page under **Co-host invitations**. They tap **Accept** and the event joins their list, marked **Co-host**.

#### What a co-host can and can't do

- They can edit the invite, add and remove guests, send invites and messages, post updates, answer questions and change the event's settings.
- Only you can move the event to the bin, restore or delete it, add or remove co-hosts, or change the event's **Notifications** card.
- Anything that costs money comes from your account. Texts a co-host sends come off your balance, and so does AI design they use. Your texts history shows who sent what, like "Sent by Maya".
- They hear about replies, questions and plus ones by push and email, following their own notification settings. Texts about the event only ever go to you.

#### Good to know

- Your co-host needs a HeadsUp account, which is free. They don't need a paid plan.
- How many co-hosts an event can have depends on your plan: 1 on Plus, 3 on Pro, 10 on Business, 25 on Business Pro and 50 on Business Max. The card shows how many spots you've used.
- An invitation lasts 14 days and takes a spot while it's waiting. Tap **Cancel invite** to take it back.
- Invitations are matched on a verified email. If yours isn't verified yet, the card says so and links you to Account to verify it. Your co-host's email needs to be verified too, or the invitation won't show for them.
- If your plan ends, co-hosts you already have keep access. Adding new ones waits until you renew.

### How to edit an event together with a co-host

See who else is on the event, what they're editing, and how to ask for something they're working on.

You and your co-hosts can all work on an event at the same time. HeadsUp shows who's there and what they're editing, and it stops two people changing the same thing at once, so nobody's work gets written over.

1. When a co-host has the event open, their initials appear under the event's tabs, with a line like "Maya's here".

2. While they're editing something, the line says what, like "Maya's editing the overview". That part of the invite wears a dashed outline and a chip with their name. Everything else is yours to edit as normal.

3. Tap something they're editing and you'll see "Maya's editing this." To ask for it, tap **Ask to edit**.

4. Your co-host sees a card with a ten second countdown. If they tap **Keep editing**, it stays theirs and you're told they're staying on it. If they do nothing, it's handed to you and you'll see "All yours. Tap it to edit."

#### Good to know

- The same goes for the settings cards on the Overview and for updates. While somebody's changing one, it shows their name and can't be changed by anyone else until they're done.
- Your own changes on another phone or computer never block you. The chip just says you're editing it on another device.
- Changes show up for everyone as they're saved, so there's no need to refresh.
- If a change of yours can't save because a co-host has that part open, HeadsUp tells you, saves the rest, and offers **Copy your text** so the words you typed aren't lost.

### How to remove a co-host

Take a co-host off an event, cancel an invitation that hasn't been accepted yet, or leave an event you co-host.

Only the event's host can remove a co-host. It takes effect straight away and frees up their spot for somebody else.

1. Open your event and scroll down the **Overview** to the **Co-hosts** card.
2. Next to their name, tap **Remove**.

3. HeadsUp checks with you first. Tap **Remove co-host** to confirm, or **Keep them** to change your mind.

They lose access straight away. If they were editing something, it stops, and the event disappears from their **Events** page.

#### Leaving an event you co-host

4. If you're the co-host, you can take yourself off. On the event's **Overview**, find the **Co-hosts** card and tap **Leave this event**, then **Leave event** to confirm.

#### Good to know

- To take back an invitation that hasn't been accepted, tap **Cancel invite** next to it.
- Everything a co-host added or changed stays on the event, like guests, updates and edits to the invite.
- You can invite them again any time, as long as you have a spot free on your plan.

#### Good to know

- Texts you buy never expire while your account is open. A plan ending doesn't touch them.
- When you send, texts that came with your plan are used first, then the ones you bought.

- Email invites and email verification codes are always free.
- If a text doesn't go through, the texts it used come back to your balance by themselves.

- Prices are in Australian dollars, and no GST is charged. Packs can't be transferred to another account or swapped for cash.

### How to start a paid plan

Pick Plus, Pro or a Business plan on the Plan tab, choose to renew or take a one-off pass, and pay by card.

A paid plan gives you more invites on the go, bigger guest lists, texts included every 30 days and more. You can start one any time from your account, and it applies to every event you have, including ones you made on Free.

1. Tap your initials in the top corner, then **Account settings**, then the **Plan** tab.
2. Scroll to **Plans** and tap the plan you want, such as **Pro**. Each one lists what it includes and its price for 30 days.

3. Under **How to pay for Pro** (it names the plan you picked), choose **Renew every 30 days** or **30-day pass**. It's the same price either way. Not sure? See [pass or renewing](https://headsup.rsvp/help/pass-or-renewing).
4. Tap the pink button, such as **Get Pro for $29.99**.

5. You're taken to a secure checkout page run by Stripe, our payment provider. Enter your card, tick the box to accept the terms and pay. Go back from the checkout page instead and nothing is charged.
6. Back on the **Plan** tab, your plan card shows the new plan. A renewing plan is called a membership and shows the date it next renews. A pass shows the date it runs until.

#### Good to know

- The plan's included texts land straight away, ready to send.
- Every event you already have moves up to the new plan's limits.
- Already on a paid plan? You can move up to a bigger one. See [move up a plan](https://headsup.rsvp/help/move-up-a-plan).
- Moving down to a cheaper plan waits until your current one ends. The Plan tab tells you the date the new plan can start from. If you're renewing, turn renewal off first and let the paid days run out.
- While a renewal is live, even one you've turned off, you can't buy a different plan. You can still [move up](https://headsup.rsvp/help/move-up-a-plan) from a renewal that's still on.
- Buying the same plan's pass again while one is running adds another 30 days to the end, and its included texts are added to what you have.
- On a pass and want it to keep going? Choose **Renew every 30 days** on the same plan. If there's more than 26 hours left on the pass, the first charge is timed for 24 hours before the pass ends, so you never pay twice for the same days. With less time left than that, renewing starts straight away. If you've stacked passes and more than 30 days are left, the Plan tab tells you the day you can turn renewal on from.
- Prices are in Australian dollars, and no GST is charged. Stripe emails your receipt.

### Should I take a 30-day pass or renew every 30 days?

Every paid plan comes two ways at the same price. A pass ends on its own, a renewal keeps going until you cancel.

When you pick a plan, HeadsUp asks how you'd like to pay for it. Both ways give you exactly the same plan at the same price. The only difference is what happens at the end of the 30 days.

- **Renew every 30 days.** Charged to your card every 30 days until you cancel. Your included texts and AI designs refresh each time. Cancel any time and keep the days you've already paid for.
- **30-day pass.** Pay once. It runs for 30 days, then ends on its own. Nothing renews and nothing is charged again.

#### Which one suits you

- **Just hosting one event?** Take a pass. Build your invite, send it, and the plan simply ends.
- **Hosting often, or running events for a business?** Renewing saves you coming back every 30 days to buy again, and you can [move up](https://headsup.rsvp/help/move-up-a-plan) mid-way and pay only the difference.

Your plan card on the **Plan** tab tells you which one you have. A pass shows **Until** and the date it ends.

A renewing plan is called a membership, and shows the date it next renews and the amount. See [start a plan](https://headsup.rsvp/help/start-a-plan) for how that looks.

#### Good to know

- Renewing is picked for you by default. Tap **30-day pass** before you pay if that's what you want.
- Plans bill every 30 days, not by the calendar month, so the date you're charged on moves a little earlier each time.
- Texts included with a pass last until the pass ends. Texts included with a renewal refresh every 30 days, and what's left doesn't roll over. Texts you buy in a pack never expire either way.
- Changed your mind about a pass? Switch it to renewing on the same plan. If there's more than 26 hours left, the first charge is timed for 24 hours before the pass ends, so you're not charged twice for the same days.

### How to cancel a renewal

Turn off a renewing plan any time. You keep every day you've paid for, and nothing you've built goes away when the plan ends.

You can stop a renewing plan whenever you like. Cancelling turns off the next charge. Your plan keeps running until the end of the 30 days you've already paid for, then it ends.

1. Tap your initials in the top corner, then **Account settings**, then the **Plan** tab. Your plan card shows the date it renews. Tap **Manage renewal**.

2. You're taken to your billing page, run by Stripe, our payment provider. Choose to cancel your plan and confirm.
3. Head back to HeadsUp. Your plan card now says **Renewal is off** and the date your plan runs until.

Changed your mind before the date? Tap **Turn renewal back on**. It opens the same billing page, where you can renew the plan, and it carries on as before.

#### What happens when a plan ends

**Nothing you've built goes away.** Invite pages stay up, links keep working, RSVPs keep landing, verification codes keep working, and updates, questions and plus ones keep arriving. Texts you bought in a pack stay yours and still send.

What changes:

- The texts and AI designs that came with the plan end with it.
- For 14 days after the plan ends, events you made on it keep that plan's limits, so an event that's in full swing isn't cut off. Your plan card says the date this runs until.
- After those 14 days, your events follow the plan you're on now. Everyone already on a guest list stays, and so do your co-hosts. What needs a bigger plan again is growing: adding guests past your plan's limit, adding co-hosts, booking new scheduled sends and editing an invite's link preview. A send that's already scheduled keeps its time.
- You can have your plan's number of events on the go. Events you already have stay, but you can't start a new one while you're over the limit.

If you were on a Business plan:

- The "Powered by HeadsUp" line comes back on your invites once the 14 days have passed.
- Your own domain is turned off once the 14 days have passed. Your invites keep working on headsup.rsvp.
- If you move to Plus or Pro instead, the line comes back straight away and your domain is turned off within a day.
- Importing from a CRM stops as soon as the plan ends. Everyone you already brought in stays, and you can still disconnect.
- Your do-not-contact list is still honoured on every event, and you can still see it and take people off it.

#### Good to know

- Cancelling doesn't refund the days you've paid for. You keep using them instead.
- Want a cheaper plan? Turn renewal off, let the paid days run out, then [start the plan you want](https://headsup.rsvp/help/start-a-plan).
- If a renewal charge fails, your plan card says so and shows an **Update card** button. We try the card again over the next two weeks, and your plan keeps running for the days you've paid for. If it still fails, the renewal stops and the plan ends when the paid days run out.
- Your receipts and invoices stay on the same billing page. See [billing history and receipts](https://headsup.rsvp/help/billing-history-and-receipts).
- On a 30-day pass? There's nothing to cancel. A pass ends on its own.

### How to move up to a bigger plan

Move up from Plus to Pro or a Business plan mid-way. Renewing plans pay only the difference, and passes refund their unused days.

Outgrown your plan? You can move up to a bigger one without waiting for the current one to end. How it works depends on whether you're renewing or on a 30-day pass.

#### If you're renewing

You keep your renewal date and pay only the difference for the days that are left.

1. Tap your initials in the top corner, then **Account settings**, then the **Plan** tab. Under **Plans**, tap the bigger plan you want.
2. Tap **Move up to Pro** (it names the plan you picked).

3. HeadsUp shows you exactly what you'll pay today, for how many days, and what each renewal costs from then. Tap **Move up to Pro** to pay it with the card you already use.

Your new plan starts straight away. Your included texts and AI designs top up in proportion to the days left, and your next renewal is at the new plan's price, on the same date as before.

#### If you're on a 30-day pass

You buy the bigger plan's pass at full price, and we refund the unused whole days of the pass you're leaving.

1. On the **Plan** tab, tap the bigger plan under **Plans**.
2. Under **How to pay for Pro** (it names the plan you picked), tap **30-day pass**. The line under it tells you how many unused days we'll refund and how much.
3. Tap the pink button, such as **Get Pro for $29.99**.

4. Check the details and tap **Get Pro for $29.99** again, then pay on the secure Stripe checkout page.

The new plan starts a fresh 30 days from today, and the refund goes back to the card that paid for the old pass. It can take several days to show on your statement.

#### How the pass refund is worked out

The old pass's price, divided by 30, times the whole days it had left, rounded down to the cent. The day you move up isn't counted. For example, moving up from a Plus pass ($12.99) with 29 whole days left refunds $12.55.

#### Good to know

- On a pass, the new plan's included texts replace what was left of the old pass's included texts. Texts you bought in a pack are never touched, whichever way you move up.
- On a pass, choosing **Renew every 30 days** for the bigger plan instead also works, but then nothing is refunded and the old pass's days don't carry over. The app says so before you pay.
- If you had a renewal waiting to start after your pass, it moves to the new plan and first charges the day before the new plan ends. A renewal you'd turned off stays off.
- If you've stacked more than one pass, only the most recent one is refunded, up to its 30 days.
- There's no refund on a pass we gave you for free.
- Moving up a renewal needs the renewal to be on and paid up, with at least an hour left before it renews. If you've turned renewal off, you can take a bigger plan once the paid days run out.
- The amount you're quoted holds for 15 minutes. If you leave it longer before you confirm, HeadsUp gets a fresh quote and asks you again.
- If your card is declined when moving up a renewal, nothing changes. Update your card under **Manage renewal** and try again.
- Moving down to a cheaper plan waits until your current plan ends. See [cancel a renewal](https://headsup.rsvp/help/cancel-a-renewal).

### Where to find your purchases, receipts and texts history

See everything you've bought on the Plan tab, open your receipts and invoices, and check where every text went.

HeadsUp keeps two records for you: what you've bought, and every text added to or spent from your balance. Your receipts come from Stripe, our payment provider, by email, and you can open them again any time.

1. Tap your initials in the top corner, then **Account settings**, then the **Plan** tab. Scroll to **Purchases** to see everything you've bought, newest first, with the date and the amount.
2. Tap **Receipts and invoices** to open your billing page, run by Stripe. Your invoices are there, and it's also where you update your card.

3. For your texts, tap **See your texts history** on the plan card, or tap the texts count at the top of any screen. **Texts history** lists every top-up, send, refund and expiry, with the balance each one left.

#### Good to know

- Stripe emails you a receipt for every payment. HeadsUp doesn't send a separate one.
- **Receipts and invoices** appears once you've bought something.
- A purchase can carry a small tag: **Refunded**, **Disputed**, **On hold** (a payment we're refunding because your plan changed while the checkout was open), or **Returned** (a dispute settled in your favour. For a text pack, the texts it took back are returned).
- When you move up from a pass, the old pass's row says how much was refunded and for how many unused days. See [move up a plan](https://headsup.rsvp/help/move-up-a-plan).
- In your texts history, texts your co-hosts sent from your balance say who sent them.
- Prices are in Australian dollars, and no GST is charged.

## Business

### How to use your own domain for invites

Put your invites on a subdomain you own, like invite.your-domain.com, with one DNS record and a check.

On a Business plan your guest links can use your own domain instead of headsup.rsvp, so an invite reads as coming from your brand from the very first tap. You'll need to be able to edit the DNS settings for your domain. It takes three steps, and the app walks you through each one.

1. Tap your initials in the top corner, then **Account settings**, then the **Branding** tab. Scroll to **Custom domain**.
2. Under **Tell us your domain**, type the subdomain you'd like to use in **Domain**, such as invite.your-domain.com. If you like, add **Your website**, which is where anyone who opens your domain without an invite link lands.
3. Tap **Request domain**.

4. HeadsUp shows you one record to add. Sign in wherever you manage DNS for your domain, such as the company you bought it from or a service like Cloudflare, and add a record with the **Type** CNAME, the **Name** and the **Target** shown. Tap **Copy** beside the Name and the Target to copy them exactly. Leave anything else at its default.

5. Once the record is saved, come back and tap **Check DNS**. We confirm the record points at us and set up the security certificate.

6. When it's done, the card says your domain is **Live**. New invite links and texts use your domain from then on.

> DNS changes can take a while to reach everywhere. If the check says it isn't through yet, give it some time and tap **Check DNS** again.

#### Good to know

- It has to be a subdomain, like invite.your-domain.com. The domain itself, like your-domain.com, can't be used.
- If your DNS provider only wants the part before your domain, the card tells you what to enter, such as invite.
- Keep the record in place. If it ever goes, your invites keep working and links go back to headsup.rsvp until it's back.
- Links you sent before your domain went live keep working.
- To use a different domain, tap **Turn domain off** first, then request the new one. Links you've already sent on the old domain stop opening, and guest links go back to headsup.rsvp.
- If your Business plan ends, your domain is turned off once 14 days have passed, or within a day if you move to Plus or Pro. Your invites keep working on headsup.rsvp. Setting it up again later needs a fresh request and a fresh DNS record.
- The domain stays yours. We just serve your invite pages on it.

### How to remove the HeadsUp branding from your invites

On a Business plan the Powered by HeadsUp line comes off your invites and guest emails automatically. You can switch it back on if you like.

Invites on the Free, Plus and Pro plans end with a small "Powered by HeadsUp" line under the page. On a Business plan it's gone, so your invite is all yours. There's nothing to set up. It comes off as soon as you're on a Business plan, on every event you have.

What comes off:

- The "Powered by HeadsUp" line under your invite pages and your public link page.
- The HeadsUp line at the foot of the emails your guests get, such as invites, updates and verification codes.
- The HeadsUp branding on the preview card that shows when your invite link is shared in a chat.

Would you rather keep it? Some hosts like guests to see where the invite came from.

1. Tap your initials in the top corner, then **Account settings**, then the **Branding** tab.
2. Under **Powered by HeadsUp**, turn on **Show Powered by HeadsUp on my invites**. Turn it off again any time.

#### Good to know

- To see exactly what your guests see, [preview your invite as a guest](https://headsup.rsvp/help/preview-your-invite-as-a-guest).
- A small "How we handle your details" link always stays at the bottom of the invite page, so guests can reach our privacy policy. The switches that let a guest stop texts and emails stay too.
- Emails sent to you as the host, like activity updates, still carry the HeadsUp name.
- If your Business plan ends, the line comes back on your invites 14 days later. Take Plus or Pro after it ends and the line is back straight away.
- The line can't be hidden with custom CSS. Taking it off is part of the Business plans.

## Your account

### How to change your name, email or password

Update your name and password from your Account page, or reset a forgotten password with a code we email you.

Your name, your sign-in email and your password all live on the **Profile** tab of your Account page. Here's how to change them, and what to do if you've forgotten your password.

#### Change your name

1. Tap your initials in the top corner, then **Account settings**.

2. On the **Profile** tab, type your new name under **Name**.

3. Tap **Save changes**.

#### Change your password

4. Further down the **Profile** tab, in the **Password** card, type your **Current password**, then your new one in **New password** and again in **Confirm new password**.

5. Tap **Change password**.

Your new password needs at least 12 characters, with an uppercase letter, a lowercase letter and a number. Changing it signs you out everywhere else, your phone included. You stay signed in on the device you changed it on.

#### Forgotten your password?

1. On the sign-in screen, tap **Forgot your password?**

2. Type the email you sign in with and tap **Send reset code**.

3. Check your inbox for a 6-digit code. Type it into **6-digit code**, choose a **New password**, and tap **Set new password**.

4. Sign in with your new password. If you think somebody else was signed in as you, tap **Sign out everywhere** on the same screen to end every other session.

#### Good to know

- **Changing your sign-in email isn't possible yet.** Your Profile tab shows the email you sign in with, but you can't edit it there. If you need a different one, tap **Report a problem** under it and we'll help.
- If your email shows as not verified, tap **Send a verification code**, type the code we email you, and tap **Verify**. You need a verified email to accept a co-host invitation.
- No reset code in your inbox? Check your spam folder, or tap **Resend the code**.

### How to choose your notifications

Pick what guest activity you hear about, and whether it comes by text, email or push, for all your events or just one.

HeadsUp can let you know when guests do things on your invites: reply, ask you a question, ask to bring a plus one, or vote in a poll. You choose which of those you hear about, and how. Your choices cover every event you run, and any single event can have its own.

1. Tap your initials in the top corner, then **Account settings**, then the **Notifications** tab.

2. Under **What you hear about**, flip the switches for each kind of activity. The three columns are **Text**, **Email** and **Push**.

   - **RSVPs**: a guest replies yes, maybe or no.
   - **Questions**: a guest asks you a question.
   - **Plus ones**: a plus-one request or a public-link join.
   - **Polls**: a vote or a suggested option.
   - **Other activity**: plates, chip-ins and sign-up claims. This one is push only.

   Your choices save as soon as you flip a switch.

3. Want texts? Turn on a switch in the **Text** column, then add your mobile in the box that appears and tap **Save**. Until you add a number, text notifications stay quiet.

4. To set things differently for one event, open the event and scroll down its **Overview** to the **Notifications** card. Flip anything there and it applies to that event only. Tap **Use my account settings** to go back to your usual choices.

#### Good to know

- **Notification texts spend your texts**, the same balance your invites use, and a busy event can text you a lot. Email and push are free.
- Emails go to the address you sign in with.
- Out of the box you get emails about replies, questions and plus ones, and push for everything. Poll emails start off, so turn them on if you'd like them.
- Push notifications need the HeadsUp phone app, which isn't in the app stores yet. Until it is, pick **Email** or **Text** for anything you don't want to miss.
- On one event you can also use a different mobile for its texts. Add it in that event's **Notifications** card, or leave the box blank to use your account number.
- Co-hosting somebody else's event? The owner picks what that event sends. You hear about replies, questions and plus ones by push and email, following your own settings here.

### How to delete your HeadsUp account

To close your account, email us from your account's address. Here's what to do first, and what happens to your events and data.

There isn't a delete button in the app. To close your account, you email us and we do it for you. It only takes a minute on your end.

1. **Save anything you want to keep.** Export your guest lists first, or ask us for a copy of your account's data and we'll send it within 30 days.

2. **Cancel a renewing plan**, if you have one, or ask us to cancel it for you in your email.

3. **Use up your texts**, or ask us to refund the unused ones from packs you bought to the card that paid for them.

4. **Email [support@headsup.rsvp](mailto:support@headsup.rsvp) from the email address you sign in with** and ask us to close your account.

#### What happens next

- We turn off sign-in for your account the same day.
- Within 30 days we finish the rest by hand. Every event you own goes to the bin and is deleted for good 30 days later, with its guests, replies and photos. Everyone in your **People** list is erased. Your own account details are erased. If you co-host other people's events, you're taken off them.

#### Good to know

- Time left on a plan isn't refunded when you close your account, unless the law says otherwise or you're closing because you don't accept a change to our terms.
- A few records stay for a set time: the log of texts and emails sent from your account for two years, and your purchase records for seven years, because Australian law requires it. The [Privacy policy](https://headsup.rsvp/legal/privacy) has the full detail.
- Just want to tidy up? You can [delete a single event](https://headsup.rsvp/help/delete-or-restore-an-event) yourself without closing your account.

## For guests

### How to reply to an invite

Got a text or email from HeadsUp? It's an invite from someone you know. Here's how to open it and tell them if you're coming.

Got a text from **HeadsUp** out of the blue? It's an invite from someone you know. HeadsUp is the app they used to make the invite and send it, so the text comes from HeadsUp rather than their own number. Some businesses that use HeadsUp send under their own name instead. The link opens a page made just for you, and replying takes one tap. You don't need an account, an app or a password.

1. **Open your link.** Tap the link in the text or email. It opens the invite in your browser, with the event's name, what's happening and when.

2. **Tap your reply.** Scroll to the question under the date, like **Are you coming?**, and tap one of the buttons. Hosts can word these themselves, so you might see **I'm in**, **Maybe** and **Can't make it**, or something that suits their event.

3. **Add the extras, if asked.** If you're going, the host may ask **Any dietary needs?** Tap what fits, or **Other…** to type your own. Turn on **Hide my name from other guests** if you'd rather not show up on the list other guests can see.

That's it. A short note under the buttons confirms your reply, and the host sees it straight away. There's nothing to submit.

#### Good to know

- **The link is personal.** It's made for you, so your reply lands against your name. Please don't forward it. If someone else should come, ask the host, or see [how to bring a plus one](https://headsup.rsvp/help/bring-a-plus-one).
- **Is it real?** The link starts with `headsup.rsvp/i/`, or it may be on the host's own web address. Your invite never asks you for a password or card details. If you're unsure, check with the person who invited you.
- **Replying never needs a code.** Some parts of an invite, like an address, may be hidden until you confirm it's you with a 6-digit code. Here's [why you might be asked for a code](https://headsup.rsvp/help/why-am-i-asked-for-a-code).
- You can change your reply any time until replies close. See [how to change your reply](https://headsup.rsvp/help/change-your-reply).

### How to change your reply

Plans change. Open your invite link again and tap a different reply, no code or account needed.

Said yes and now can't make it? Or said maybe and you're now a firm yes? You can change your reply whenever you need to, right up until replies close. The host sees the change straight away.

1. **Open the same link.** Find the text or email with your invite and tap the link again. It's your personal link, so it opens your own reply.

2. **Tap a different reply.** Your current reply is highlighted. Tap another one, like **Maybe** or **Can't make it**.

3. **Check the note.** A short note under the buttons confirms the change, like **Marked as maybe. Change your reply anytime.** The counts above update too.

You can also change your dietary needs or the **Hide my name from other guests** switch the same way. Each tap saves on its own.

#### Good to know

- **Replies close** when the event ends, or when it starts if it has no end time, or earlier if the host set a reply-by date. When there's a deadline, you'll see **RSVP by** and the date above the buttons. Once replies close, the buttons go away and a note says so, like **RSVPs have closed**. If you still need to change something, get in touch with the host, since they can update your reply for you.
- Changing your reply never needs a code.
- Lots of changes in a short time? Every tap counts, dietary needs and the name switch included, so after about ten in an hour you'll be asked to wait a few minutes.
- Lost the link? Ask the host to send it again. If they've made you a new link, the old one stops working and you'll see **This invite link isn't active**.

### Why am I being asked for a code?

Some invite details stay hidden until you confirm it's you with a 6-digit code. Here's why, and what to do if the code doesn't arrive.

Invite links get forwarded around group chats. So hosts can keep some things just for the people they invited, like their home address, a PayID or their phone number. To see those, you confirm it's you with a 6-digit code sent to the mobile or email the host has for you. It takes a few seconds, and you never need an account or a password.

Replying to the invite never needs a code. You'll only be asked when you open something the host has kept private, or do something that goes beyond your own reply, like adding a dish, asking the host a question or bringing a plus one.

1. **Tap Send code.** On the locked card, pick **SMS** or **Email** if you're offered both, then tap **Send code**. The code goes to the contact the host saved for you, not one you type in.

2. **Type the code and tap Verify.** Your text reads "Your HeadsUp code is" followed by six digits. Type them in and tap **Verify**. The card shows where the code went, like the last three digits of your mobile.

3. **You're in.** The hidden details appear, with a **Verified** badge. One code opens everything on the invite, so you won't be asked again on this phone or computer.

#### If the code doesn't come

- **Give it a minute**, and check your junk folder if you chose email.
- **Try the other way.** If you were offered **SMS** and **Email**, switch and tap **Send a new code**.
- **Codes run out after 10 minutes.** If yours has expired, tap **Send a new code**. After a few codes in a row you'll need to wait a little before asking for another.
- **Wrong number or email?** The code always goes to what the host has saved for you, so ask the host to fix it. Once they do, your same link keeps working and the code goes to the right place.
- **No contact at all?** If the host only has your name, the card says a code has nowhere to go. The same happens if they only have your mobile but send codes by email only. Ask them to add your email or mobile, then come back to the same link.

#### Good to know

- **Why a code and not just the link?** A link can be passed on. A code proves you're the person the invite was for, so a forwarded link can't unlock the private parts.
- **It's per device.** Verifying on your phone doesn't unlock your laptop. Open the link on a new device, or clear your browser, and you'll be asked once more. You'll also be asked again if the host changes the mobile or email they have for you, or sends you a new link.
- A code only ever arrives because somebody tapped **Send code** on your invite. If you didn't ask for one, you can ignore it.
- Stopped texts from this event? You'll still get a code when you ask for one, because you asked.

### How to bring a plus one

If the host allows plus ones, add yours from your invite and HeadsUp sends them their own invite, or gives you a link to pass on.

Want to bring someone along? If the host has switched on plus ones, you can add them yourself from your invite. Your plus one gets their own invite and their own link, so they can reply for themselves.

1. **Tap Bring a plus one.** It sits under the reply buttons. If you don't see it, the host hasn't turned plus ones on for this event, so ask them instead.

2. **Confirm it's you.** The first time, you'll be asked for a 6-digit code sent to your mobile or email. Here's [why you're asked for a code](https://headsup.rsvp/help/why-am-i-asked-for-a-code).

3. **Add their details.** Type their name, plus their email or mobile if you have it. Both are optional.

4. **Tap Add your plus one.** They're added to the guest list.

If you gave their email, HeadsUp emails them their invite. If you left the contact details blank, or their invite couldn't be sent, you'll see **Copy their link** next to their name. Tap it and send the link to them yourself, in a text or a chat.

#### Good to know

- **The host sets how many** you can bring. You'll see how many you've used, like **1 of 2 used**, and **You've used your plus ones for this event.** once you've hit the limit.
- **Mobile numbers only get a text if the host allows it.** When they don't, the form says **Phone invites are off for this event.** Add an email instead, or share their link yourself.
- **Some hosts approve plus ones first.** If so, your plus one shows **Waiting for the host** and gets their invite once the host says yes.
- Next to each plus one you'll see where they're up to, like **Invited**, **Opened** or their reply.
- Your plus one replies on their own invite, and they can't add plus ones of their own.
- Need to take one off? Ask the host, since only they can remove a guest.

### How to ask the host a question

Send the host a private question or note from your invite, and read their answer in the same spot.

Wondering if you can bring the dog, or where to park? If the host has switched on questions, you can ask them straight from your invite. It's private: it goes to the host and anyone hosting with them, and other guests never see it.

1. **Tap Ask the host a question.** It sits under the reply buttons. If it isn't there, the host hasn't turned questions on for this event.

2. **Confirm it's you.** The first time, you'll be asked for a 6-digit code sent to your mobile or email. Here's [why you're asked for a code](https://headsup.rsvp/help/why-am-i-asked-for-a-code).

3. **Type your question and tap Send to the host.** Keep it to a question or a short note.

Your question shows **Sent to the host. The answer will land right here.** When the host replies, their answer appears under your question on the invite, marked **The host**.

#### Good to know

- The host may also send you a text or email to let you know they've answered. Tapping it opens your invite right at the answer.
- Questions are up to 1000 characters. You can ask a few, but not dozens in a row.
- On another phone or computer you'll confirm it's you once more before your questions show.

### How to vote, bring a dish, claim a job or chip in

Vote in a poll, add what you're bringing, put your name on a job or mark that you've chipped in, all from your invite.

Hosts can ask for a bit more than a yes or no. Your invite might have a poll to vote in, a potluck list, jobs that need doing, or a chip-in for costs. You'll often find these on their own tabs, like **Playlist** or **Bring a plate**, along the row under the reply buttons. They can also turn up in an update the host posts later.

1. **Vote in a poll.** Tap your pick. If you can only choose one, that's it, your vote counts straight away. If you can choose a few, the card says how many, like **Pick up to 2**. Tap each one, then tap **Lock in my picks**. You'll see **Counted!** once it's in.

2. **Bring a dish.** Under **Add your plate**, type what you're bringing, add a note if it helps, like gluten free, and tap **Add my plate**. It joins the list, so nobody ends up with five pavlovas.

3. **Claim a job.** Tap **I'll take it** next to a job to put your name on it. Changed your mind? Tap **Hand it back**. A job that's full says **Covered**.

4. **Chip in.** The chip-in card shows how much and what it's for. Once you've confirmed it's you, you'll see how to pay the host, like their PayID. Pay them the way they've asked, then tap **I've chipped in** so they know. Tap **Take it back** if you tapped it by mistake.

#### Good to know

- **Voting never needs a code**, unless the poll sits on a tab the host has locked. Adding a dish, claiming a job, chipping in and suggesting your own poll option do, the first time on each device. Here's [why you're asked for a code](https://headsup.rsvp/help/why-am-i-asked-for-a-code).
- **You can change your vote** any time. Tap a different option, or change your picks and tap **Update my picks**.
- **Suggest an option** shows under a poll only when the host allows it. Your suggestion is added for everyone to vote on.
- **Who sees what.** Other guests see the dishes and jobs with names beside them. If you've hidden your name on your reply, you show as **Someone**. Poll votes show as counts, never names, and the host can hide the counts. For chip-ins, other guests only see how many people have chipped in, never who.
- **HeadsUp doesn't take payments.** The money goes straight from you to the host. **I've chipped in** is just a tick to let them know.
- Need to change a dish you've added? You can't remove it yourself, so ask the host to take it off, then add the new one.

### How to add an event to your calendar

Save the event to Apple Calendar, Google Calendar or Outlook straight from your invite, in one tap.

Don't let the date sneak up on you. Your invite can drop the event straight into your calendar, with the name, date and time filled in.

1. **Find the date card.** Open your invite and look for the card with the date and time, just above the reply buttons.

2. **Tap your calendar.** Tap **Apple Calendar** or **Google Calendar**.

   - **Apple Calendar** downloads a calendar file. On an iPhone it opens straight in Calendar. It works for Outlook and most other calendar apps too, so use this one if you're not on Google.
   - **Google Calendar** opens Google Calendar with the event ready to save. Check the details and tap **Save**.

#### Good to know

- **No end time?** If the host didn't set one, the calendar entry runs for two hours.
- **Hidden addresses stay hidden.** If the host keeps the address for verified guests only, it isn't put in the calendar entry, even if you've unlocked it. Copy it in yourself if you like.
- **Plans changed?** A calendar entry doesn't update on its own. If the host moves the date, add it again from your invite.
- **Don't see the buttons?** The host can switch them off, or the event may not have a date yet.

### How to stop texts or emails about an event

Stop a host's texts or emails about one event in a single tap from your invite. No code, and it's never refused.

Don't want any more messages about an event? You can stop texts, emails or both yourself, straight from your invite. It takes one tap, you don't need a code, and a stop is never refused.

> Replying STOP to a HeadsUp text won't work. Texts come from a name, usually **HeadsUp**, rather than a phone number, so they can't receive replies. Use the switch on your invite instead.

#### Stop texts

1. **Open your invite.** Tap the link in any text about the event.

2. **Turn off Text me about this event.** Scroll to the very bottom of the invite and tap the switch. It says **You won't get texts about this event.** once it's off.

#### Stop emails

1. **Tap Stop them in the email.** Every email about an event has **Don't want emails about this event? Stop them** at the bottom. Many mail apps also show their own unsubscribe button at the top, which does the same thing.

2. **Tap Stop emails.** The page asks first, so nothing stops by accident. You'll see **Emails stopped** once it's done.

You can also turn off **Email me about this event** at the bottom of your invite, the same way as texts.

#### Good to know

- **It's just this event.** A stop covers the event you tapped it from. Other invites, even from the same host, have their own switch.
- **You'll only see the switches you need.** If the host only has your email, there's no texts switch, and the other way round.
- **Changed your mind?** Turn the switch back on. Starting messages again asks for a 6-digit code first, unless you've already confirmed it's you on this device, because anyone with your link could otherwise switch them back on. Stopping never does.
- **Your invite keeps working.** You can still open it, reply and see updates. The host just can't text or email you about this event.
- **Codes you ask for still arrive.** If you tap **Send code** on your invite, the code comes through even if you've stopped texts or emails, because you asked for it.
- **Not sure what the event is?** It's from someone who has your number or email, sent using HeadsUp. Open the link to see what it's about, or stop it here if it's not for you.

### How to join an event from a shared link

Found an event link in a group chat or on social media? Join with your name and a 6-digit code, and get your own invite.

Some hosts share one link for everyone, in a group chat, a newsletter or on social media, instead of sending each person their own invite. Anyone with that link can see the invite and join. Joining takes your name and a quick code, and there's no account or password.

1. **Tap Join this event.** Open the link and scroll to the button where the reply buttons would normally be. The host may have worded it their own way, and if they check each person first it says **Ask to join**. You might also see how many spots are left.

2. **Add your details.** Type **Your name** and your email or mobile, whichever the host asks for.

3. **Tap Send my code.** A 6-digit code goes to the email or mobile you typed, to check it's really yours.

4. **Type the code and tap Join.** Didn't get it? Tap **Send it again**. Codes last 10 minutes.

You're in, and counted as going. Your own invite page opens, with anything the host keeps for guests only, like the address, already unlocked on this device. From there you can [change your reply](https://headsup.rsvp/help/change-your-reply), [add it to your calendar](https://headsup.rsvp/help/add-to-your-calendar) and more, just like any other guest.

#### Good to know

- **Keep your personal link.** After joining you get your own invite link, the one that opened after step 4. Bookmark it so you can come back to your reply.
- **If the host approves joins**, you'll see **Request sent** instead. Tap **Open my page** to see your invite. You can't reply or unlock anything until the host lets you in.
- **Already joined?** Join again with the same email or mobile. It finds your existing spot rather than adding you twice, and keeps any reply you'd already given. If the event is full, the button says **Already joined? Get your link** for exactly this. New people can't join a full event.
- On the shared page, other guests' names are hidden, and so is anything the host keeps for verified guests. You'll see them once you've joined, if the host shares them.
- Joining is between you and the host. They'll see your name and the contact you used, and may send you updates about this event. You can [stop texts or emails](https://headsup.rsvp/help/stop-texts-or-emails) any time.
